Automated Webinar Registration Pacing

Every morning, WebRun opens BigMarker, reads the registrant count for each upcoming webinar, compares it against your target and the days left until the session, updates the campaign page in Notion, and opens a Trello card for every session that is running behind.

In short

How do I find out early that a webinar is not getting enough registrations?

WebRun watches your BigMarker webinar registrations every morning. It reads the registrant count for each upcoming session, compares it against your target and the days remaining, updates the Notion campaign tracker, and opens a Trello card for any webinar pacing behind while there is still time to promote it.

  • A thin session is spotted with days left to promote it
  • Registration pace is visible without opening BigMarker
  • Every under-target webinar has an owned card on the marketing board

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.bigmarker.com/login in a real browser with your saved login - no setup, no API keys.

  2. 1
BigMarker - read registrations per webinar
    bigmarker.com
WebRun in BigMarker: read registrations per webinar
WebRun opens BigMarker to read registrations per webinar.
    • Open BigMarker and list the webinars scheduled in the next 30 days
    • Read the registrant count and the event date for each
    • Note how many registrations came in since yesterday
    • Capture the registration page link so a fresh invite is easy to send

Done when Every upcoming webinar has today's registrant count and its event date.

  3. 2
Notion - update the campaign tracker
    notion.so
WebRun in Notion: update the campaign tracker
WebRun opens Notion to update the campaign tracker.
    • Update the webinar row in the Notion campaign tracker with today's count
    • Work out the pace: registrations so far against your target for that session
    • Show the daily signups alongside the days remaining
    • Mark a session On track, Watch, or Behind

Done when Notion shows the pacing status for every upcoming session.

  4. 3
Trello - raise a card for thin sessions
    trello.com
WebRun in Trello: raise a card for thin sessions
WebRun opens Trello to raise a card for thin sessions.
    • Create a card on the marketing board for each session marked Behind
    • Put the registration count, the target, and the days remaining in the card
    • Add the registration link and the last invite date so the next push is quick to plan
    • Update the existing card instead of adding a duplicate when one is already open

Done when Every under-pacing webinar has an open card with its numbers.

Questions, answered

Will it send invitation emails on its own?

No. WebRun reports the pacing and raises a Trello card. Any invitation to your list is written and sent by you, so nothing reaches an audience without approval.

How does it decide a webinar is behind?

It compares the live registrant count against the target you set for that session and the days left until the event, so a slow start on a distant date is not treated as a problem.

Will I get the same alert every day?

No. An open Trello card is updated with the new numbers rather than duplicated, so a session that stays thin stays as one card.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
