Automated ASC Staff Credential Expiry Tracking
Every Monday, WebRun opens HST Pathways, pulls all staff credentials, licenses, and certifications expiring within 90 days, logs each to the compliance tracker in Google Sheets tiered by urgency, and posts a weekly Slack alert so the credentialing team can prioritize renewals before any gap affects accreditation.
How can an ASC automatically track staff credential and license expiration dates?
Every Monday, WebRun checks HST Pathways for staff licenses, certifications, and credentials expiring within 90 days, logs each to a color-tiered compliance tracker in Google Sheets, and posts a Slack alert calling out any expiring within 14 days by name and type so your credentialing team can renew before any gap affects accreditation.
- Credential expirations are caught up to 90 days in advance, not the day before
- Credentialing team has a tiered renewal priority list every Monday
- No accreditation gap from an overlooked license expiration
Built for ASC credentialing coordinators · HR staff · compliance officers · ambulatory surgery center administrators

Questions, answered
Which credential types does it track?
It tracks any credential stored in HST Pathways, including BLS, ACLS, DEA registration, state nursing and physician licenses, and facility-specific certifications, for both clinical and administrative staff.
What if a credential has already been renewed but not updated in HST Pathways?
WebRun reads the expiration dates in HST Pathways as the source of truth. If a renewal is not yet recorded in the system, the credential will continue to appear in the tracker until the record is updated.
Will it notify staff members directly about their own credentials?
No. The weekly alert goes to the credentialing team in Slack, not to individual staff members. Your credentialing coordinator decides how and when to follow up with each person.
