How to Automate Jackrabbit Dance
Jackrabbit Dance automates tuition posting, scheduled ePayments with declined-payment notices, and the Parent Portal, where families enrol and book absences and makeups. Its Executive Dashboard flags repeat absences and waitlisted classes with openings. Writing to each of those families, and checking the costume supplier's portal, stays with the front desk, and an agent like WebRun can take that on overnight.
Jackrabbit Dance holds the whole season, from registration to recital
A dance studio runs on a season. Registration opens before the autumn term, classes fill and waitlists grow, teachers measure dancers for costumes over the winter, and the year ends with a recital every family has had in the diary since September.
Jackrabbit Dance is where that season lives. It is the dance edition of Jackrabbit's class and payment software, which also comes as a Class edition for gyms and swim schools. Families register and pay online. Teachers take attendance on the Staff Portal from any device, and parents use the Parent Portal to enrol, book future absences and schedule makeups within limits the studio sets.
Behind the front desk it holds the roster for every level and style, each family's balance, and the costume sizes for every dancer in every routine.
Before every deadline, the front desk checks every family by hand
Say the studio has three hundred dancers, one office manager and an owner who teaches until nine.
Tuition day brings a few declined autodrafts, and each of those families needs a call or a note before the balance ages. A girl in Tuesday's jazz has missed three weeks and nobody has asked her family why. A spot opened in Saturday ballet, and the family who joined its waitlist in August has not heard. The costume order goes to the supplier on the fifteenth, and two dancers in the tap routine have no measurements on file.
Recital season adds checks outside Jackrabbit altogether. The costume company's order portal shows three items backordered, and ticket sales run on a separate site such as TutuTix, the service Jackrabbit's help centre describes for recital tickets.
The Executive Dashboard flags absences and open spots for staff to act on
Automated tuition posting puts fees on family accounts on a recurring weekly or monthly schedule, at a set date and time, and the studio can schedule ePayments to draft cards and bank accounts, with automatic notices when a payment declines.
The Executive Dashboard raises alerts for students with two or three absences in the last 14 days and four or more in the last 30, and for classes with openings that have a waitlist. From a class's Waitlist tab, staff can email, text or push-notify the families on it, one at a time or as a batch.
For the recital, costume auto-sizing reads each dancer's measurements against the vendor's size chart, and the lineup tool checks that dancers have time to change between routines. Zippy AI, Jackrabbit's email writer, drafts a message once someone has chosen who it is for.
Jackrabbit never enrols a dancer from a waitlist by itself; someone opens the class and clicks Enroll. The absence alerts list names without writing to anyone, and a family whose autodraft declined keeps its unpaid balance until the office follows up. The costume supplier's order portal and the ticketing site sit outside Jackrabbit, so no Jackrabbit report can see a backorder or a slow ticket sale.
Costume records and waitlists in Jackrabbit name the families to write to
Two weeks before the costume order goes in, the office manager emails every family whose dancer is missing measurements or owes a costume fee, working routine by routine. Once the order is in, the owner hears about a backordered costume the week the supplier's portal shows it, with time left before dress rehearsal.
When a family drops Saturday ballet, the first family on that class's waitlist has an offer from the office the same day, and the Enroll click follows once they say yes. For each dancer on the absence alerts, the teacher has two lines ready for the family, asking whether the class time still works.
The morning after tuition posts, the office has a personal message drafted in Gmail for each family whose autodraft declined. Each month the owner sets enrolment by class and style beside the same month last year in Google Sheets, which shows the classes worth adding next season.
Jackrabbit's alerts become drafted family emails overnight
The Executive Dashboard points to the rosters and family accounts, which the office manager clicks into one by one to write each message.
WebRun is an AI agent that works a real Chrome browser, signed in as you. Once the studio has closed it opens Jackrabbit Dance with the office login, reads the alerts, rosters and balances, checks the costume supplier's portal when a job needs it, and posts its findings to the studio's Slack with the family emails drafted in Gmail. Jackrabbit needs no integration or developer for it.
Family emails go out from the office's Gmail once the office manager reads and sends each one, and enrolling a dancer or changing a tuition fee stays a click the office makes in Jackrabbit. The jobs below begin in Jackrabbit and end in the office's Gmail or Slack.
Questions people ask
Is this for Jackrabbit Dance or Jackrabbit Class?
Either. Jackrabbit calls them the Dance, Music and Class editions of its software, and the agent uses whichever one the office login opens. This page is written for the dance studio version.
Which part of a family email does Zippy AI handle?
The writing. Zippy AI writes an email once you have picked the families and opened a message. The agent does the picking: it works out from the alerts, rosters and balances which families need a message this week, including from sites outside Jackrabbit, and drafts each one for the office to send.
Which costume supplier portals can it read?
Any the studio has a login for. It reads each order's status and matches the items to the routines and dancers in Jackrabbit, and a backordered item goes to the office's Slack channel with the dancers it affects.
Does it rely on teachers taking attendance in the Staff Portal?
For the absence jobs, yes: the attendance teachers record in the Staff Portal is its source, so a class with no attendance taken looks like a class with no absences. Jackrabbit's own Classes with Incomplete Staff Portal Attendance alert tells the office which classes those are.
