How to Automate Buildium

How much Buildium automates depends on the plan: rent, late fees and reminders on every plan, Workflow Automations from Growth, the Lumina AI Workforce and the Open API on Premium. On any plan, the chasing that happens in inboxes, vendor dispatch, move-out inspections and missing tenant documents, can go to an AI agent such as WebRun as drafts.

Buildium keeps rentals and associations in one account

Buildium is property management software for single-family and multifamily rentals and community associations, and it runs mixed portfolios with student housing, commercial units and storage alongside them. Its plans run from Essential, which Buildium pitches at a portfolio that is taking off, through Growth to Premium.

Day to day it holds the leases and the property accounting, rent collected online, and the Resident Center, where tenants pay and send maintenance requests. Work orders go to staff or vendors, and tasks carry an owner and a due date. Property inspections come with the Growth and Premium plans, and staff file the reports from the field. Leasing runs through Buildium too: listings syndicated to rental sites, online applications with tenant screening, and lease documents an applicant signs from any device. Owners check on their properties in the Property Owner Portal.

Move-ins and move-outs create most of the chasing

A new tenant still owes a copy of their ID, a renter's insurance certificate and a signed pet addendum, and move-in is Friday. A tenant whose lease ends next month needs a move-out inspection booked before the keys come back.

A resident reports a leak through the Resident Center at nine at night. The property manager picks the plumber, emails them, waits for the confirmation and then tells the tenant when to expect them. Between tenants the unit turn needs a painter, a cleaner, a carpet fitter and a locksmith, each booked around the others, and every move-in and move-out has its own checklist to send and follow up. On the association side, a board member emails to ask when the pool gate will be fixed.

Work orders sent to the right vendor Each new work order read, the preferred vendor for that trade chosen from your list, and a dispatch email drafted with the unit and access notes.
Move-out inspections booked in time Leases ending soon found, a proposed inspection time drafted for each departing tenant, and the inspections still to lock in sent to you on Telegram.
Tenant documents collected before move-in Missing IDs, pay stubs, signed addenda and insurance certificates chased with a polite note, and replies checked for the attachment.

The deepest automation in Buildium sits on the Premium plan

On every plan, Buildium collects rent online with recurring payments, charges late fees automatically, reconciles the bank accounts, e-files 1099s and sends standard email notifications and reminders, with task management built in.

Growth adds the advanced automation: reports that send themselves on a schedule, returned-payment automation that applies the fee and the notice, tenant screening that starts when an application is submitted, and Workflow Automations for multi-step processes. Premium adds the Lumina AI Workforce, agents for maintenance, leasing, accounting, resident experience and business operations, along with the Open API. The Maintenance Contact Center, powered by RealPage, answers resident requests around the clock and creates the work orders in Buildium.

A task can be assigned and a reminder sent, but the insurance certificate arrives as an email attachment, the plumber confirms by text or on their own scheduling page, and the tenant agrees the move-out time in an email thread outside Buildium. What happens in a tenant's or a vendor's inbox stays there until the manager copies it into Buildium, on Premium as much as on Essential.

The right vendor hears about a new work order before lunch

When a work order comes in, the property manager opens a dispatch email already drafted in Gmail to the preferred vendor for that trade, with the unit, the access notes and the tenant's availability, and the team sees in Slack what is waiting to go out.

Sixty days before a lease ends, the email proposing a move-out inspection time to the departing tenant waits in Gmail for the manager's review, and the manager gets a Telegram message naming the inspections still to lock in. Tenants with an ID, pay stubs, a signed addendum or a renter's insurance certificate outstanding each get a polite chaser, drafted for approval, and when one replies, the manager can see whether the attachment came with it.

The manager sends move-in and move-out checklists already prepared for each tenant and unit. For an association, the board hears the date of a common-area repair as soon as the vendor confirms it.

Every Buildium chaser waits in Gmail for the manager to send

A Buildium work order, lease date or tenant record turns into an email only when the manager reads it and writes one. WebRun is an AI agent that works a real Chrome browser, signed in as you. It goes through Buildium's work orders, leases and tenant records and prepares the emails and checklists in Gmail. It needs neither Workflow Automations nor the Open API, so it runs the same on Essential as on Premium.

It records no payment, changes no lease and closes no work order in Buildium. The property manager sends every dispatch, proposal and chaser from Gmail drafts, and the vendors the agent chooses from are the ones on your list, with a backup per trade if you want one.

Questions people ask

Which vendor does it pick for a work order?

The one on your list for that trade. You give it a preferred vendor per trade, and a backup if you like; it reads the issue and the property on the work order, and when nothing on the list matches, it asks instead of guessing.

We also manage an HOA in Buildium. Can it help there?

Yes, in the same way. It can draft the chasers for association residents and board members, such as collecting documents or confirming a vendor for a common-area repair, with every message held for approval.

Can it check a renter's insurance certificate?

It can open the certificate that arrives, compare the dates and the named insured with the lease, and flag anything that looks wrong. Whether the coverage is adequate stays your decision.
