How to Automate AppFolio

Inside AppFolio, Flows on the Plus and Max plans run renewals, rent collection and delinquencies from events in the system. What is left sits outside it: matching bank deposits to the rent ledger, pricing renewals against listing sites and sending owners numbers they never log in to see, which an AI agent like WebRun can do.

AppFolio runs the rent roll for portfolios of fifty units and up

AppFolio sells to operators rather than to landlords with a few rentals. Its Core plan comes with a fifty-unit minimum, and the customers quoted on its homepage manage thousands of units apiece, one of them close to fourteen thousand, across multifamily, single-family, student and affordable housing, community associations and commercial space.

Inside AppFolio Property Manager sits the life of a unit: marketing and leasing, applications, the lease, rent collected through the online portal, work orders and inspections, the Unit Turn Board, and the accounting and reports on top. AppFolio calls the whole thing a real estate performance platform, and its AI layer runs through it: an Assistant, Messages for the inbox, Flows that run a process, and Performers that take on steps inside those Flows. A regional manager keeps the rent roll and the Delinquency report open all day.

Every owner and asset manager wants the numbers in a different shape

An asset manager wants a lease expiration forecast by month and property, in the spreadsheet their model reads from. The regional manager wants the morning delinquency report in Slack, ranked by balance, before calls start. The accountant wants every bank deposit matched to the rent ledger, and the one that does not match found the same day.

Before a renewal offer goes out, a leasing manager checks what similar units are listed for on the rental sites, so they can defend the increase to the resident. The owner of four buildings wants occupancy by building in an email, without signing in to AppFolio, and each city's rental registration comes up for renewal on its own date, on its own website. A property accountant spends part of every week exporting AppFolio reports into spreadsheets and reshaping them for each owner.

A delinquency digest before the first call Every resident past due, with the balance, the days late and whether a late fee is already on the ledger, ranked by amount and posted each morning.
Renewals priced against the market Leases expiring over the next few months grouped by month and property in the forecast sheet, with asking rents for similar units beside them.
Deposits matched to the rent ledger Rent received at the bank compared with what AppFolio recorded, and every difference listed for the accountant to review.

Flows start only from events that happen inside AppFolio

Every plan includes the AI Assistant and Messages. Flows come with the Plus plan and above, with templates for rental applications, rent collection, debt collection, lease renewals, lead nurturing, delinquencies, unit turns, and listing and un-listing units. Performers take on steps inside a Flow. The Maintenance Performer replies to residents, troubleshoots, prioritizes emergencies and dispatches work, calling on the Lula Vendor Network when your own technicians are not available, and the Leasing Performer pre-qualifies prospects and schedules showings. AppFolio lists a Resident Messenger Performer as coming soon.

Flows begin when tagged events occur within AppFolio, on relative dates or on a schedule. A deposit on the bank portal, an asking rent on a listing site, a city's rental registration and the owner's own spreadsheet are none of those. The AppFolio API reaches further, but it is read-only on Plus and read and write only on Max, and it needs a developer before it does anything.

Owners who never log in can still get their numbers from AppFolio

Each morning the regional manager reads, in Slack, every resident past due with the balance, the days late and whether a late fee is already on the ledger, ranked by amount before calls begin.

Each week the asset manager opens a forecast sheet that already holds the leases expiring over the next few months, grouped by month and property, with the asking rent for similar units on the listing sites set beside each current rent. The accountant reviews the bank's deposit report already matched against the rent ledger, each difference set out rather than fixed. Owners get occupancy and vacancy by building by email, each in the layout they asked for.

On the Core plan, which has no Flows, the property manager reviews a rent-due reminder for each resident before rent falls due. A month before a city rental registration lapses, the property manager hears about it, property by property, from that city's own portal.

Numbers leave AppFolio in the shape each reader wants

Each of those reports starts as an AppFolio export that someone reshapes by hand. WebRun is an AI agent that works a real Chrome browser, signed in as you. Under a login you choose, it opens AppFolio's reports, reads the figures, visits the bank and the listing sites, and writes the results into each reader's sheet or inbox. It needs no AppFolio API key, so it works the same on Core as on Max.

It posts no charge, waives no late fee and changes no rent on the ledger. Renewal offers wait in the leasing manager's email drafts, and the rent reconciliation on this page sets out each difference for the accountant rather than correcting it.

Questions people ask

On the Core plan, can we still automate renewals and delinquency follow-up?

Yes. Flows start on Plus, and so does the API, read-only there. On Core, WebRun reads the lease expirations and the Delinquency report in the browser, drafts renewal offers and reminders, and holds each one for your approval.

What can't an AppFolio Flow start from?

Anything outside AppFolio. Flows begin on tagged events in AppFolio, relative dates or a schedule, so a bank deposit, a listing price, a city registration or an owner's spreadsheet never starts one. Keep your Flows running; WebRun covers those steps.

Is there any risk it changes a rent or posts a fee?

No. By default it reads and reports. Posting a charge, waiving a late fee or changing a rent is a decision for your staff, so those stay with them.

We manage for dozens of owners. Can each get their own report?

Yes. The same figures can be split by owner or by property and sent in the layout each owner asked for, with the emails drafted for a manager to check until you trust them.

Where does it find asking rents for comparable units?

On the listing sites you name. It searches them for units like yours by area, bedrooms and size and records the asking rents beside each expiring lease. The renewal offer stays your call.
