Automated Animaker Workspace Access Review

Every Monday, WebRun signs into Animaker, reads the list of people in your workspace with their roles, notes the projects and folders that are shared with them and any invites still pending, writes the roster into Airtable, and opens a Trello card for each account that should probably be removed.

In short

How do I review who still has access to my Animaker workspace?

Every Monday, WebRun signs into Animaker and reads your workspace roster: every member, their role, the projects shared with them, and any invite still pending. It writes the roster into Airtable and opens a Trello card for each stale account, so brand assets stop travelling with people who left.

  • Leavers and contractors still holding access are caught every week
  • Invites left pending for a month are cleaned up
  • Airtable keeps a dated access history for the next review

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.animaker.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Animaker - read the workspace roster
    animaker.com
WebRun in Animaker: read the workspace roster
WebRun opens Animaker to read the workspace roster.
    • Sign into Animaker and open your workspace settings
    • List every member of the workspace with the role they hold
    • Note any invitations that were sent but never accepted, and how old each one is
    • Record which shared projects and folders each member can still open

Done when Every workspace member, role, pending invite, and shared project is captured.

  3. 2
Airtable - log members, roles and shares
    airtable.com
WebRun in Airtable: log members, roles and shares
WebRun opens Airtable to log members, roles and shares.
    • Write this week's roster into your access review base in Airtable
    • Give each row the member, their role, their shared projects, and the date they were added
    • Mark rows as new, unchanged, or gone compared with last week's run
    • Keep the previous weeks in place so the base doubles as an access history

Done when Airtable holds this week's roster with the change against last week marked.

  4. 3
Trello - raise a card per stale account
    trello.com
WebRun in Trello: raise a card per stale account
WebRun opens Trello to raise a card per stale account.
    • Open a Trello card for each account that matches your leaver or contractor list
    • Add a card for any invite that has been pending longer than 30 days
    • Put the member, the role, and what they can still open in the card description
    • Leave the removal itself to a person. WebRun raises the card, it never removes anyone from the workspace

Done when Every account worth reviewing has a Trello card with the detail to decide on.

Questions, answered

Will it remove people from the workspace?

No. WebRun reads the roster and raises a Trello card for accounts worth reviewing. Removing a member or cancelling an invite stays a decision your workspace admin makes.

How does it know who has left?

You give it a leaver or contractor list once, or point it at your HR sheet. Anyone on that list who still appears in the workspace gets a card, along with invites over 30 days old.

Does it open our videos or projects?

No. It reads membership and sharing settings only: who is in the workspace, their role, and which projects are shared with them. Project contents are never opened.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
