Automated Stale Document Reviews
Every Monday, WebRun opens Almanac, finds the docs and handbook pages nobody has updated in the months you set, records the owner and the last updated date for each, books a review block per owner in Google Calendar, and texts you the week's review list through Twilio.
How do I find company documents that are out of date and need a review?
WebRun keeps your Almanac handbook honest every Monday. It finds the docs untouched for longer than your review age, records the owner and last updated date for each, books a review block per owner in Google Calendar, and texts you the list through Twilio, so instructions that stopped being true get refreshed.
- Aging pages surface weekly instead of at the next audit
- Every stale doc arrives with the owner already attached
- Docs with no owner are flagged so one gets assigned
Built for operations leads · chiefs of staff · remote teams · knowledge managers
What does WebRun do on every run?
The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

1
Almanac - find the docs nobody has touched
WebRun opens Almanac to find the docs nobody has touched. - Open Almanac and go through the handbooks and doc collections you nominate
- Read the last updated date and the current version on each doc
- List anything untouched for longer than the age you set, for example six months
- Capture the named owner for each stale doc, and mark docs with no owner
- Read only. Never edit a doc or change its owner
Done when Every doc past its review age is listed with its owner and last updated date.
-
2
Google Calendar - book time for each review
WebRun opens Google Calendar to book time for each review. - Create a review block on your own operations calendar for each owner with stale docs
- Title it with the owner name and how many docs need a refresh
- List the doc titles and their last updated dates in the event description
- Leave the block without invitees, so you decide who gets asked and when
- Update the existing block instead of stacking a second one when a review is already booked
Done when Every owner with stale docs has review time blocked out.
-
3
Twilio - text you the review list
WebRun opens Twilio to text you the review list. - Text your own number with the week's headline: how many docs are stale and how many owners are involved
- Name the three oldest docs and how long since each was updated
- Flag any stale doc with no owner, since those need one assigned first
- Send nothing when no doc has crossed the review age this week
Done when You have the week's review list on your phone.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it message the document owners?
No. The calendar block carries no invitees and the text goes only to your own number. Asking an owner for a refresh stays a conversation you have, so nobody gets an automated nudge.
Can it edit or archive an out-of-date doc?
No. The run is read only inside Almanac. WebRun lists what is aging and who owns it. Editing, archiving, or reassigning a doc is done by a person.
How old does a doc have to be to appear?
You set the review age, for example six months, and only docs untouched for longer than that are listed. Everything younger is left out, so the weekly list stays short.
