Automated Aircall Call Tagging Audit

Every night, WebRun opens Aircall, goes through the calls answered that day, picks out the ones with no tag or no note, logs each gap in Airtable against the agent who took the call, and posts a short list to Slack.

In short

How do I make sure my team tags and notes every call?

Every night WebRun opens Aircall, reviews the day's answered calls, and finds the ones left without a tag or a note. It logs each gap in Airtable grouped by agent and posts the list to Slack, so call reporting and CRM history stay worth trusting the next morning.

  • Call reporting is based on tags that are actually filled in
  • Each agent sees their own logging gaps the same night
  • Long calls with no note are chased while the detail is fresh

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens phone.aircall.io in a real browser with your saved login - no setup, no API keys.

  2. 1
Aircall - review the day's answered calls
    aircall.io
WebRun in Aircall: review the day's answered calls
WebRun opens Aircall to review the day's answered calls.
    • Open Aircall and filter the call history to calls answered today
    • Read the tags and the call note on each one
    • Keep the calls that carry no tag, no note, or neither
    • Capture the agent, the number, the time, and the call length for each gap

Done when Every answered call from today has been checked for a tag and a note.

  3. 2
Airtable - log the gaps per agent
    airtable.com
WebRun in Airtable: log the gaps per agent
WebRun opens Airtable to log the gaps per agent.
    • Add a row per untagged or unnoted call with the agent and the timestamp
    • Mark whether the tag, the note, or both are missing
    • Roll up a per-agent count for the day and the week to date
    • Close rows once the agent goes back and fills the record in

Done when Every logging gap is recorded in Airtable against its agent.

  4. 3
Slack - post the tidy-up list
    slack.com
WebRun in Slack: post the tidy-up list
WebRun opens Slack to post the tidy-up list.
    • Post tonight's list to the team channel, grouped by agent
    • Show each agent's count of calls missing a tag or a note
    • Call out longer calls with no note first, since those hold the most detail
    • Post nothing when every call was logged properly

Done when The team has tonight's tidy-up list in Slack.

Questions, answered

Will it tag or write notes on calls itself?

No. WebRun only reads the call record and reports what is missing. Tags and notes stay the agent's own words, so the CRM history keeps its meaning.

Does it name individual agents?

Yes. The Slack list is grouped by agent with a count each, which is what makes it actionable in a stand-up rather than a vague reminder to log calls.

What about missed or very short calls?

Missed calls are skipped, and you can set a minimum call length so a ten second wrong number never lands on the tidy-up list.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
