In short

How do I track Afterpay disputes before the response deadline passes?

WebRun reviews your Afterpay merchant account every morning, collecting the refunds processed and the disputes raised since yesterday. It posts them to Slack with amounts, reasons and days remaining on each open dispute, and queues a Twilio text to your finance lead whenever a response deadline falls inside two days.

  • No dispute deadline passes unnoticed, because days remaining is on every line
  • The daily refund total is compared against the recent average
  • Large refunds and disputes are called out separately from the routine ones

    • Open the disputes or chargebacks view and capture every open case
    • For each dispute record the order reference, amount, the reason given and the date it was raised
    • Work out how many days remain to respond on each open dispute
    • Total the refunded value for the day so the trend is visible against previous mornings

Done when Every new refund and every open dispute is listed with its amount, reason and days remaining.

  3. 2
Slack - post the daily list
    slack.com

    • Post the day's refunds and open disputes to your finance channel

    • List the refunds underneath with the day's total and how it compares to the recent daily average
    • Call out any single refund or dispute above the value threshold you set
    • Say plainly when there were no new refunds and no open disputes

Done when Finance has today's refund and dispute list in Slack with deadlines shown.

  4. 3
Twilio - text when a deadline is close
    twilio.com
WebRun in Twilio: text when a deadline is close
WebRun opens Twilio to text when a deadline is close.
    • When a dispute has two days or fewer to respond, draft a short text to the finance lead
    • Name the order reference, the amount and the exact deadline date
    • Queue the text for approval before it sends, since it reaches a real phone number
    • Never respond to a dispute, issue a refund or accept a chargeback. Every one of those moves money, so a human does it in Afterpay

Done when A deadline warning is queued for the finance lead, or no dispute was close enough to warrant one.

Questions, answered

Will it respond to disputes or issue refunds?

No. Responding to a dispute, issuing a refund and accepting a chargeback all move money, so WebRun never does any of them. It reads your merchant account, lists the cases with their deadlines, and leaves the action to a human.

Will it text the finance lead automatically?

No. The Twilio message is queued for approval before it sends, because it reaches a real phone. The Slack post goes up on its own, since it is an internal channel message.

How does it work out the response deadline?

It reads the date each dispute was raised and the response window shown on the case, then counts the days remaining. Cases with two days or fewer trigger the deadline warning.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
