Automated Zello User Onboarding Checks

Every morning, WebRun opens your Zello Work network, checks each recently added user against your onboarding checklist covering channel membership, profile name, and first sign-in, posts the outstanding items to your operations channel in Slack, and sends the supervisor group in Microsoft Teams the names of anyone still not radio-ready.

In short

How do I make sure new field staff are set up on Zello before their shift?

WebRun checks your Zello Work network every morning for users added in the last week, verifying display name, channel membership, and first sign-in against your onboarding checklist. It posts the outstanding items to Slack and tells supervisors in Microsoft Teams who is not radio-ready before the shift starts.

  • New workers are reachable on the radio from their first shift
  • Accounts that were created but never used are caught within a day
  • Supervisors get the gap list before the shift, not during it

Built for field service operations · logistics teams · security companies · construction supervisors

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens zello.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Zello - check new user setup
    zello.com
WebRun in Zello: check new user setup
WebRun opens Zello to check new user setup.
    • Open your Zello Work network and list users added in the last seven days
    • Check each against the onboarding checklist: display name set, added to the right channels, and signed in at least once
    • Note which channels each new user is missing for their role
    • Record whether the account has ever been used or is still dormant

Done when Every new user has a pass or fail against each checklist item.

  3. 2
Slack - post the outstanding items
    slack.com
WebRun in Slack: post the outstanding items
WebRun opens Slack to post the outstanding items.
    • Post the outstanding onboarding items to your operations channel in Slack
    • List each incomplete user with exactly what is missing
    • Put users who have never signed in at the top, since they cannot be reached on the radio at all
    • Confirm plainly when every new user is fully set up

Done when Operations has today's onboarding gap list in Slack.

  4. 3
Microsoft Teams - tell supervisors who is not ready
    microsoft.com
WebRun in Microsoft Teams: tell supervisors who is not ready
WebRun opens Microsoft Teams to tell supervisors who is not ready.
    • Send the supervisor group a short message in Microsoft Teams
    • Name the workers who are not radio-ready and which shift they are on
    • Say what each one needs so the supervisor can fix it before the shift starts
    • Keep it internal. WebRun never messages the worker over Zello

Done when Supervisors know which of their people cannot be reached on the radio today.

Good to know

Questions, answered

Will it add users to channels or change permissions?

No. WebRun reads the network setup and reports the gaps. Adding a user to a channel, changing a role, or removing an account is always done by an administrator in Zello.

Does it send voice messages or alerts over the radio?

No. It never transmits on a channel, sends a Zello message, or contacts a worker. Everything it reports goes to your internal Slack and Microsoft Teams channels.

How does it know which channels a role needs?

You set the channel list per role once, and WebRun compares each new user against the list for their role every morning until the setup is complete.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
