Automated Envoy Desk No Show Alerts

Every hour during office hours, WebRun opens Envoy, finds desks that were booked but never checked into within the grace period, logs each no show to a Google Sheet for the record, and posts facilities a Slack list of the desks that are now free to offer walk ins.

In short

How do I flag desk bookings that turned into no shows?

Every hour, WebRun checks Envoy for desks that were booked but never checked into within the grace period, logs each no show to a Google Sheet, and posts facilities a Slack list of the desks now free for walk ins. It flags repeat no show bookers from the log, but leaves releasing the desk to a person.

  • Free desks get offered to walk ins instead of sitting empty
  • Repeat no show bookers show up in the log, not just once
  • Facilities gets an hourly list instead of checking Envoy by hand

Questions, answered

Does it cancel or release the desk booking itself?

No. WebRun only flags the no show and logs it. Releasing or reassigning the desk is left to facilities to confirm, so nobody loses a desk they are actually still coming in for.

How long is the grace period before it counts as a no show?

You set it. Most teams use 30 minutes past the booking start, which gives someone running late time to check in before their desk is flagged as free.

Does it track repeat no shows?

Yes. Every no show is logged to the same Google Sheet with the booker's name, so patterns of repeat no shows are visible over a month, not just one hour at a time.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
