Automated Webex Meeting Link Checks

Every evening, WebRun opens Webex and lists tomorrow's scheduled meetings, opens Google Calendar and reads tomorrow's invites, matches them by time and title, and posts a short Microsoft Teams list of any calendar meeting with no Webex link, any Webex meeting nobody was invited to, and any time or host mismatch between the two.

In short

How do I check that tomorrow's meetings all have the right video link?

WebRun compares tomorrow's Webex meetings with tomorrow's Google Calendar invites every evening, matching them by time and title. It posts a Microsoft Teams list of meetings with no join link, no matching invite, or a host and time mismatch, so problems get fixed the night before rather than at the start of the call.

  • Broken meeting links are found the night before, not at start time
  • Every calendar event is matched to a real Webex meeting
  • The channel gets a single all clear when nothing needs fixing

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens web.webex.com in a real browser with your saved login - no setup, no API keys.

  2. 1
    Webex - list tomorrow's meetings
    webex.com
WebRun in Webex: list tomorrow's meetings
WebRun opens Webex to list tomorrow's meetings.
    • Open Webex and go to the meetings list for tomorrow
    • Capture each meeting's title, start time, duration, host, and join link
    • Note any meeting still marked as draft or with no invitees attached
    • Note recurring series instances that fall tomorrow

Done when Every Webex meeting scheduled for tomorrow is listed with host and link.

  3. 2
Google Calendar - read tomorrow's invites
    calendar.google.com
WebRun in Google Calendar: read tomorrow's invites
WebRun opens Google Calendar to read tomorrow's invites.
    • Open Google Calendar and read every event scheduled for tomorrow
    • Ignore all-day events, personal blocks, and events with no other attendees
    • Match each remaining event to a Webex meeting by start time and title
    • Mark events with no join link in the body, events pointing at an expired link, and Webex meetings with no matching calendar invite

Done when Every meeting on tomorrow's calendar is matched or marked as an exception.

  4. 3
Microsoft Teams - post the fix list
    microsoft.com
WebRun in Microsoft Teams: post the fix list
WebRun opens Microsoft Teams to post the fix list.
    • Post tomorrow's exception list to your team channel in Microsoft Teams
    • Put meetings starting earliest at the top so morning problems get fixed tonight
    • Say clearly what is wrong with each one: no link, wrong host, time mismatch, or no invite
    • Post a single all clear line when nothing needs fixing

Done when Tomorrow's exceptions are in Teams, or the channel shows an all clear.

Questions, answered

Will it change my calendar or send invites?

No. WebRun reads both Webex and Google Calendar and reports the gaps to Teams. It never creates, edits, cancels, or re-sends an invite, so no attendee is ever emailed on its own.

Does it look at private events?

It skips all-day events, personal blocks, and anything with no other attendees, so only real meetings that need a working join link are checked.

What if a meeting is fixed after the run?

The next evening's run reads both systems live, so anything corrected during the day simply does not appear again.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
