Automated Webex External Guest Audit

Every Monday, WebRun opens Webex, walks your spaces, lists every member whose email sits outside your company domains, notes how long since each one last posted, posts the audit to Slack, and opens a Trello card per space for the moderator to confirm who stays.

In short

How do I audit external guests in my Webex spaces?

Every Monday, WebRun opens Webex, walks your spaces, and lists every member whose email domain sits outside your company, with days since they last posted. It posts the audit to Slack and opens a Trello card per space so the moderator can confirm who still belongs. WebRun never removes anyone itself.

  • Every space membership is reviewed weekly instead of never
  • Ex contractors still sitting in a space are surfaced by name
  • Moderators get a decision card instead of an audit spreadsheet

Built for IT admins · security and compliance teams · operations leads · agencies with contractors

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens web.webex.com in a real browser with your saved login - no setup, no API keys.

    • Open Webex and go through the spaces on your watchlist
    • Read the member list of each space and mark anyone whose email domain is not yours
    • Note the space moderator and how long since each external member last posted
    • Read only. Never remove a member or leave a space

Done when Every watched space has its external members listed with last activity.

  3. 2
    Slack - post the audit
    slack.com
WebRun in Slack: post the audit
WebRun opens Slack to post the audit.
    • Post the audit to your IT channel, one block per space
    • Show the external member, their domain, and days since they last posted
    • Flag anyone quiet for longer than your threshold as stale
    • Call out spaces where external members outnumber internal ones

Done when The IT channel has this week's external membership picture.

  4. 3
Trello - queue the removal review
    trello.com
WebRun in Trello: queue the removal review
WebRun opens Trello to queue the removal review.
    • Open one card per space that has stale external members
    • List the names, domains, and last activity on the card
    • Assign the card to the space moderator to confirm keep or remove
    • Removal stays a human action in Webex. WebRun only queues the review

Done when Every space with stale guests has a card waiting on its moderator.

Questions, answered

Will it remove people from spaces?

No. WebRun reads membership and queues a Trello card for the moderator. Removing anyone from a Webex space stays a human action, so nobody loses access by mistake.

How does it know who is external?

By email domain. You give WebRun the domains that count as internal, and every member outside that list is reported as external with their domain shown next to their name.

Does it message the guests?

No. The audit goes only to your internal Slack channel and Trello board. External members are never contacted or told they were reviewed.
