Automated Segment Plan Usage Monitoring
Every Monday, WebRun opens Segment, reads how much of the billing period's allowance the workspace has used, breaks the usage down by source, drafts you a Gmail summary with the projected end-of-period figure, and puts a review reminder on your Google Calendar if you are on track to exceed it.
How do I track Segment usage against my plan before an overage?
WebRun opens Segment every Monday and reads how much of the billing period's allowance your workspace has used, broken down by source. It drafts a Gmail summary with a projected end-of-period figure and books a Google Calendar review when you are heading for an overage, so volume gets trimmed before the bill arrives.
- The end-of-period position is known weeks before the invoice
- The sources driving volume are named, not guessed
- A calendar review is booked only when the projection runs over

1
Segment - read usage against the plan
WebRun opens Segment to read usage against the plan. - Open Segment and go to the workspace usage view for the current billing period
- Record tracked users or events used so far against the plan allowance
- Break the usage down by source so the heaviest ones are named
- Note how many days of the billing period are gone and how many remain
Done when Usage so far, the allowance, and the per-source breakdown are all captured.
-
2
Gmail - draft the usage summary
WebRun opens Gmail to draft the usage summary. - Draft an email with usage to date, the allowance, and the percentage used
- Project the end-of-period figure from the run rate so far
- List the top sources by volume and how each changed since last week
- Leave the email in Drafts so you read it before it reaches finance
Done when A usage summary with a projection is drafted in Gmail.
-
3
Google Calendar - book the trim review
WebRun opens Google Calendar to book the trim review. - When the projection exceeds the allowance, add a review event to your Google Calendar
- Put the projected overage and the top sources in the event description
- Set the event before the billing period ends so there is still time to trim
Done when A review is on the calendar whenever the projection runs over the plan.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it turn off a source or change my plan?
No. WebRun reads usage and reports it. Disabling a source or upgrading a plan is a commercial decision, so it stays with you, and the summary email waits in Drafts until you send it.
How does it project the end-of-period figure?
From the run rate: usage so far divided by days elapsed, multiplied by the days in the billing period. The email shows both the raw number and the projection so you can sanity check it.
Can it warn me before Monday if usage spikes?
Yes. Run it daily instead of weekly and it checks the same figures every morning, drafting the email only when the projection crosses the threshold you set.
