Automated Rocket.Chat Inactive Account Audit

Every Monday, WebRun opens Rocket.Chat admin, reads the user list and their last login dates, finds accounts dormant for longer than you allow, checks which channels have had no message in weeks, posts the audit to Slack, and opens a Trello card for each account or channel to act on.

In short

How do I find inactive chat accounts and unused channels in my workspace?

WebRun audits your Rocket.Chat workspace every Monday. It lists users who have not logged in for the period you set, finds channels with no recent posts, and recommends an action on each. The list goes to Slack and every recommendation becomes a Trello card for an admin to approve.

  • Leavers lose access instead of keeping a live account for months
  • The seat count matches the people actually using the workspace
  • No account is deactivated without an admin approving it

Built for workspace admins · IT teams · security officers · operations managers

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.rocket.chat in a real browser with your saved login - no setup, no API keys.

  2. 1
Rocket.Chat - find dormant accounts and channels
    rocket.chat
WebRun in Rocket.Chat: find dormant accounts and channels
WebRun opens Rocket.Chat to find dormant accounts and channels.
    • Open Rocket.Chat admin and list all users with their last login date and role
    • Flag accounts with no login for longer than the period you set
    • List channels with no message posted in the same period, and their owners
    • Note which dormant accounts still hold an admin or owner role

Done when Every dormant account and dead channel is listed with its last activity date.

  3. 2
Slack - post the access audit
    slack.com
WebRun in Slack: post the access audit
WebRun opens Slack to post the access audit.
    • Post the audit to the admin channel with dormant accounts first
    • Call out any inactive account still holding elevated permissions
    • Show the seat count against the number of accounts actually in use

Done when Admins have this week's access audit in Slack.

  4. 3
Trello - open a card per recommendation
    trello.com
WebRun in Trello: open a card per recommendation
WebRun opens Trello to open a card per recommendation.
    • Open a card per account or channel with a recommended action written on it
    • Rank accounts with elevated permissions at the top
    • Leave every card for an admin to approve. WebRun never deactivates anyone

Done when Every recommendation has a Trello card waiting for an admin decision.

Questions, answered

Will it deactivate accounts or delete channels?

No. WebRun recommends and an admin decides. Removing access and archiving a channel are irreversible, so every action waits on a Trello card until a human approves it.

Does it read message content?

No. It reads activity metadata only: last login dates, channel post dates, roles, and membership. The messages themselves are never opened or copied anywhere.

How long is dormant?

You set the period, for example no login for 60 days. WebRun applies your number to every account and channel on each Monday run and lists what crosses it.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
