Schedule Property Showings Automatically

Every few minutes, WebRun reads new showing-request emails, checks Google Calendar for your first open slot that week, drafts a showing confirmation with the time and address, and queues it for your approval - all before a human touches it.

In short

How can I automatically schedule property showings from viewing requests?

Every few minutes, WebRun reads new showing-request emails, checks Google Calendar for your first open slot that week, drafts a showing confirmation with the time and address, and queues it for your approval - buyers get a fast, professional response and nothing is confirmed without you.

  • Every showing request gets a draft confirmation within minutes, not the next business day
  • Your calendar is checked for conflicts before any slot is proposed to a buyer
  • Agents spend time at showings, not scheduling them

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens mail.google.com in a real browser with your saved login - no setup, no API keys.

  2. 1
    Gmail - read showing requests
    gmail.com
WebRun in Gmail: read showing requests
WebRun opens Gmail to read showing requests.
    • Scan for unread emails containing 'showing', 'viewing', or 'tour' in the subject
    • Extract the buyer's name, preferred dates and times, and the property address
    • Mark the email as read and label it 'Showing Request'

Done when All showing requests are read with buyer details and property captured.

  3. 2
Google Calendar - find a free slot and create the event
    calendar.google.com
WebRun in Google Calendar: find a free slot and create the event
WebRun opens Google Calendar to find a free slot and create the event.
    • Check your calendar for the next three business days and identify gaps of 60+ minutes
    • Pick the earliest slot that overlaps with the buyer's stated preference
    • Create a tentative calendar event titled with the buyer name and property address, marked as Tentative until you confirm

Done when A tentative showing event is on the calendar for each request.

  4. 3
DocuSign - prepare the showing agreement draft
    docusign.com
WebRun in DocuSign: prepare the showing agreement draft
WebRun opens DocuSign to prepare the showing agreement draft.
    • Open your showing-agreement template in DocuSign
    • Pre-fill the buyer name, property address, and proposed showing date and time
    • Save as a draft envelope - do not send until you have approved the slot

Done when A pre-filled showing agreement draft is waiting in DocuSign for your review.

Good to know

Questions, answered

Will it confirm the showing time with the buyer on its own?

No. The calendar event is marked Tentative and the DocuSign envelope is a draft - nothing goes to the buyer until you approve both.

What if my calendar is fully booked for the buyer's preferred window?

WebRun picks the nearest available slot, flags it to you in the draft, and suggests you offer it or propose an alternative.

Can it handle weekend showings?

Yes - it checks all seven days unless you tell it to restrict to weekdays in the plan settings.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
