In short

How do I send customer statements from QuickBooks every week?

Every Monday WebRun opens QuickBooks, finds every customer carrying an open balance, and prepares each customer statement with the invoices and ageing behind it. It leaves the statements unsent for your approval, posts the who-owes-what summary to Microsoft Teams, and texts you the total outstanding through Twilio.

  • Every customer with a balance gets a weekly nudge without anyone building the list
  • The oldest debts surface at the top of the Teams post each Monday
  • No statement leaves QuickBooks until you approve it

Built for small business owners · bookkeepers · accounting firms · credit control teams

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.qbo.intuit.com in a real browser with your saved login - no setup, no API keys.

    • Put the largest and oldest balances at the top, and mark which statements are waiting on your approval

    • Call out anything that crossed into the 90 days and over bucket this week
    • Only text the owner number on file. Never text a customer

Done when You have a text with the total outstanding and the newest problem accounts.

Good to know

Questions, answered

Will it send statements to customers without me?

No. Every statement is prepared in QuickBooks and left unsent, and the Teams post lists what is waiting. You approve each one before a customer sees anything.

What if a customer paid over the weekend?

They are skipped. WebRun reads the live accounts receivable ageing in QuickBooks at the start of each run, so anyone whose balance cleared drops off the list.

Who receives the Twilio text?

Only the owner number you save during setup. It carries the total outstanding and the accounts that aged into a worse bucket, and it never goes to a customer.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
