Automated Podiatry Eligibility Checks

Every evening, WebRun opens Tebra, pulls tomorrow's appointment roster, identifies patients whose insurance eligibility has not been verified for the current benefit period, logs the pending checks in Google Sheets, and posts a Slack alert to the billing team so verifications are completed before the patient arrives.

In short

How do I automatically check which patients need insurance eligibility verification before their visit?

Every evening, WebRun pulls tomorrow's appointment roster from Tebra, identifies patients whose insurance eligibility has not been verified recently, and logs a work list in Google Sheets. It then alerts your billing team in Slack with appointment times and payer details so every check is completed before the patient walks in.

  • Eligibility gaps are flagged the evening before, not discovered at the front desk
  • Billing staff start each day with a clear work list rather than a manual roster review
  • Denied claims due to unverified coverage are reduced significantly

Questions, answered

Does it run the eligibility check automatically with the payer?

No. WebRun surfaces which patients need a check and logs them for your billing team. The actual real-time eligibility verification is run by your staff, since it requires direct payer access and clinical context.

How does it decide when an eligibility check is current enough?

It uses a threshold you define, typically 30 days. Any patient whose last verification is older than that threshold, or who has never been verified, is added to the work list.

What if a patient has no insurance on file in Tebra?

Those patients are flagged separately in the sheet with a note that insurance information is missing, so staff can contact them before the appointment to collect coverage details.
