Automated iQueue Release Deadline Nudges

Every morning, WebRun opens LeanTaaS iQueue, checks each block's specific release deadline against today's date, drafts a personalized countdown nudge in Outlook for any owner inside 14, 7, or 3 days of their deadline, logs the countdown to a tracking sheet, and posts the scheduling team today's at risk list in Slack.

In short

How do I nudge surgeons before their OR block release deadline passes?

Every morning, WebRun checks LeanTaaS iQueue for blocks approaching their specific release deadline, at 14, 7, and 3 days out, and drafts an increasingly urgent nudge to each owner's office in Outlook. It logs the countdown to a tracker and posts the scheduling team today's at risk list in Slack, so no deadline passes with unused hours still sitting on the block.

  • Block owners hear about their deadline at 14, 7, and 3 days out, not the day it passes
  • Scheduling opens each morning to a single at risk list instead of checking every block by hand
  • Nudges get more urgent automatically as a deadline gets closer

Questions, answered

How is this different from a general release reminder?

It is tied to each block's own specific deadline rather than a general daily habit. WebRun only nudges at the 14, 7, and 3 day marks before a block's actual release deadline, with the wording getting more urgent as the deadline nears.

Will the nudge go out to the block owner automatically?

No. Every nudge is drafted in Outlook and left unsent. A coordinator reviews and sends it, so a physician's office never hears from WebRun directly.

What happens if a block is released before its nudge goes out?

It drops off the list. WebRun rechecks iQueue's live release status each morning, so a block that's already been released is skipped automatically.
