Automated Pendo Onboarding Milestone Checks

Every Monday, WebRun opens Pendo, takes the accounts that signed up in the last few weeks, checks each one against the feature events that mark a healthy onboarding, records which milestones are still unhit in Google Sheets, and books an outreach block in Google Calendar for the accounts falling behind.

In short

How do I find new accounts that never completed onboarding?

WebRun opens Pendo every Monday, takes the accounts that signed up inside your onboarding window, and checks each against the feature events that mark a healthy setup. It records the unhit milestones in Google Sheets, worst first, and books outreach time in Google Calendar for the accounts falling behind.

  • Outreach lands during onboarding rather than at renewal
  • Every new account is checked against the same milestone list
  • The accounts furthest behind are surfaced first, with time already booked

Built for customer success managers · onboarding teams · product-led growth · SaaS account managers

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.pendo.io in a real browser with your saved login - no setup, no API keys.

  2. 1
Pendo - check new accounts against milestones
    pendo.io

WebRun opens Pendo to check new accounts against milestones.
    • Open Pendo and pull the segment of accounts that signed up within your onboarding window
    • For each account, check the feature events that make up your setup milestones
    • Record which milestones have been hit, which have not, and how many days since signup
    • Note how many visitors from the account have been active at all

Done when Every new account has its milestone progress and days since signup recorded.

  3. 2
Google Sheets - record the milestone gaps
    google.com
WebRun in Google Sheets: record the milestone gaps
WebRun opens Google Sheets to record the milestone gaps.
    • Open the onboarding sheet and add a row per new account
    • Tick the milestones hit and name the ones still outstanding
    • Sort so the accounts furthest into their window with the fewest milestones sit at the top
    • Mark accounts that completed onboarding since last week as done

Done when The sheet shows every new account's milestone gaps, worst first.

  4. 3
Google Calendar - book the outreach time
    calendar.google.com
WebRun in Google Calendar: book the outreach time
WebRun opens Google Calendar to book the outreach time.
    • Open your calendar and add an outreach block for the accounts at the top of the list
    • Put the account name and the missing milestone in the event title
    • Link the event description back to the sheet row
    • Only block time on your own calendar. Never invite the customer

Done when This week's onboarding outreach has time booked against the accounts that need it.

Questions, answered

Will it contact the customer?

No. WebRun writes an internal sheet and blocks time on your own calendar. It sends no in-app guide, no email, and no meeting invite to the account. You decide who to reach out to and how.

Which milestones does it check?

The ones you name. Point WebRun at the Pendo feature events that mark a healthy setup, such as first integration connected or first report shared, and it checks every new account against exactly that list.

How new is a new account?

You set the window, for example the first 30 days after signup. Accounts drop off the list once they pass the window or complete every milestone, whichever happens first.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
