Automated Pendo Feature Usage Drop Alerts

Every Monday, WebRun opens Pendo, reads last week's usage for each feature you track, compares it with the week before, records every drop past your threshold in Airtable with the size of the fall, and drafts an email in Gmail summarising the drops so a product lead can review and send it.

In short

How do I find out when usage of a product feature is falling?

WebRun watches your Pendo feature usage every Monday. It compares last week's usage against the week before, flags every feature that fell past your threshold, logs the drop in Airtable with both figures, and drafts a Gmail heads-up for a product lead to review and send.

  • A falling feature is spotted the week it starts, not the quarter after
  • Every drop has a dated record with the numbers behind it
  • Stakeholder emails are written for you and sent only after review

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.pendo.io in a real browser with your saved login - no setup, no API keys.

  2. 1
Pendo - compare feature usage week over week
    pendo.io
WebRun in Pendo: compare feature usage week over week
WebRun opens Pendo to compare feature usage week over week.
    • Open Pendo and load the feature usage report for the week just ended
    • Capture the number of accounts and users who touched each tracked feature
    • Compare each figure with the same measure for the previous week
    • Mark any feature whose usage fell by more than your threshold percentage

Done when Every tracked feature has a week over week change and a flag if it dropped.

  3. 2
Airtable - log every meaningful drop
    airtable.com
WebRun in Airtable: log every meaningful drop
WebRun opens Airtable to log every meaningful drop.
    • Open your product analytics base in Airtable
    • Add a row for each flagged feature with the two weekly figures and the percentage change
    • Link the row to the feature record so repeat declines are visible over time
    • Mark a feature as recovering when usage climbs back above the threshold

Done when Every flagged drop has a dated row in Airtable.

  4. 3
Gmail - draft the heads-up email
    gmail.com
WebRun in Gmail: draft the heads-up email
WebRun opens Gmail to draft the heads-up email.
    • Open Gmail and compose a message to your product stakeholders
    • List each dropped feature with both weekly numbers, the percentage change and how many weeks it has been falling
    • Leave the message as a draft. WebRun never sends it on its own
    • Skip the draft entirely on a week with no drops past the threshold

Done when A draft email listing this week's usage drops is waiting in Gmail for review.

Questions, answered

Will it email stakeholders without me?

No. The Gmail message is left as an unsent draft every single run. A person reads it, edits the wording and clicks send, so no report leaves your account on its own.

What counts as a meaningful drop?

Whatever you set. You choose the percentage fall and the minimum user count that make a feature worth flagging, so small features with noisy numbers do not fill the report.

Does it change anything in Pendo?

No. WebRun only reads usage reports. It never launches a guide, edits a segment, changes a tracked feature or touches any Pendo setting.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
