Keep survivorship follow-up visits on track for every patient

Every Monday, WebRun opens NextGen, identifies oncology patients in survivorship care whose next follow-up visit is due or overdue, and adds each to an Airtable base with a draft reminder message queued for your care team to review and approve before any patient contact is made.

In short

How do I automatically track survivorship follow-up reminders for oncology patients in NextGen?

WebRun reviews your NextGen patient list every Monday, identifies oncology survivorship patients whose follow-up visit is due or overdue, and logs each to Airtable with a draft outreach message. Your care coordinators review and approve every message before sending, so no patient in remission goes without a timely check-in.

  • Every survivorship patient receives a timely follow-up without manual list management
  • High-priority patients flagged when more than 180 days have passed since last contact
  • Patient outreach held for staff approval to protect PHI

Good to know

Questions, answered

Will it send reminders directly to patients?

No. Patient outreach involves PHI and must be reviewed and approved by your care team. WebRun queues a draft message for each patient, but nothing is sent until a staff member approves and sends it.

How does it know each patient's follow-up schedule?

It uses the last visit date in NextGen and applies the follow-up interval your team configures at setup, such as 90 days post-treatment. You can set different intervals by cancer type or protocol.

What if a patient already has an upcoming appointment booked?

It checks for existing upcoming appointments in NextGen before flagging a patient. Anyone with a scheduled visit within the follow-up window is excluded so your team only sees patients who genuinely need outreach.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
