In short

How do I automatically route new oncology referrals to the right team from NextGen?

WebRun monitors your NextGen referral inbox throughout the day and routes every new oncology referral to the correct provider or team channel in Slack within minutes. Urgent referrals trigger a direct message to the on-call oncologist, while routine referrals go to the scheduling team for standard intake processing.

  • Every oncology referral reaches the right team within minutes of arriving in NextGen
  • Urgent referrals escalated immediately to the on-call oncologist
  • No referral sits unassigned in the inbox at the end of the day

Questions, answered

Will it schedule the appointment or contact the patient automatically?

No. WebRun routes the referral notification internally to your team. Scheduling and patient contact are handled by your scheduling staff, who receive the routed alert and take the next steps.

How does it decide which team to route to?

You configure routing rules at setup, such as routing breast cancer referrals to the breast oncology team and hematology referrals to a different channel. The rules are based on diagnosis code and requested provider.

What happens with referrals that arrive outside business hours?

After-hours referrals are queued and posted at the start of the next business day, except for any marked urgent, which trigger an immediate Slack alert to the on-call team.
