Automated Tebra OBGYN No-Show Report

Every afternoon, WebRun opens Tebra, identifies all appointments marked as no-show for the day, notes the patient, visit type, and provider, and posts a prioritized no-show action list to your Slack channel so staff can follow up before end of day.

In short

How can I automatically track OBGYN no-shows and get a same-day follow-up list?

WebRun scans Tebra every afternoon for appointments marked no-show, prioritizes prenatal and postpartum visits, and posts a concise action list to Slack so staff can follow up with the right patients before end of day. No patient data leaves the practice without staff review.

  • Staff have a prioritized no-show list in Slack by 2:30 PM every day
  • Prenatal and postpartum no-shows are flagged for same-day clinical follow-up
  • Repeat no-shows are identified for care-coordination review without manual chart pulls

Questions, answered

Does it contact the no-show patient directly?

No. WebRun posts an internal Slack list for staff to action. All patient contact, including rescheduling calls or messages, is handled by staff so no PHI is sent externally without human approval.

Why are prenatal and postpartum visits flagged as high priority?

Missing prenatal and postpartum appointments carries a higher clinical risk than routine visits. WebRun flags them so staff can prioritize outreach for those patients and escalate to a provider if needed.

What if the appointment status changes after the report runs?

The report captures status at the time it runs each afternoon. Staff can re-run manually at any time, and the next scheduled run the following afternoon will reflect the latest Tebra appointment statuses.
