Automated Nephrology Eligibility Verification Worklist

Every morning, WebRun opens Acumen and identifies patients scheduled two days out whose insurance eligibility has not yet been verified for the upcoming visit. It logs each to a Google Sheets eligibility worklist and sends a Telegram alert to the billing team so they can confirm coverage before the day of service.

In short

How do I automatically build an insurance eligibility verification worklist for nephrology appointments?

Every morning, WebRun opens Acumen and finds every nephrology appointment two days out where insurance eligibility has not been verified in the past 30 days. It logs each to a Google Sheets worklist sorted by appointment time and sends a Telegram alert to the billing team, so coverage issues are resolved before patients arrive at the practice.

  • Eligibility issues are caught 48 hours before the appointment, not on the day of service
  • Billing staff have a ready-made verification list each morning instead of searching manually
  • Day-of eligibility denials and same-day rescheduling are significantly reduced

Questions, answered

Does WebRun call the insurance company or submit an eligibility request?

No. WebRun identifies which patients need eligibility verification and builds the worklist. Billing staff run the actual eligibility checks through Acumen's clearinghouse connections or the payer portal.

How does it know which patients have already been verified?

It checks whether an eligibility verification was completed for the patient's current payer in the past 30 days. If one was, the patient is skipped and not added to the worklist.

What about patients with multiple payers?

The worklist includes a row for each payer associated with the patient's appointment, so both primary and secondary payer checks are captured separately.
