Automated Measurement Appointment Scheduling
Every Monday, WebRun opens LymphaTech, finds patients due for a new measurement scan, places tentative holds on open slots in your Google Calendar, and drafts a Twilio text inviting each patient to confirm a time, leaving both the holds and the texts for your front desk to review before anything is booked or sent.
How do I schedule measurement appointments for patients due a scan?
WebRun checks LymphaTech every Monday for patients whose measurement scan has come due, holds suitable tentative slots on your Google Calendar, and drafts a Twilio text inviting each patient to confirm. Both the holds and the texts wait for your front desk to review, so nothing is booked and no patient is contacted without approval.
- Patients due a rescan are surfaced instead of quietly lapsing
- Proposed slots are pre-held so the front desk just confirms
- No booking or text goes out without a person reviewing it first

Questions, answered
Will it book appointments or text patients without me?
No. WebRun proposes tentative calendar holds and queues invite texts in Twilio, then leaves both for your front desk to confirm and send. No booking is finalized and no patient is texted without a human approval.
How does it decide who is due for a scan?
It reads each patient's last scan date in LymphaTech and flags those whose recommended rescan interval has come due. Anyone with an appointment already on the calendar is skipped so they are not double-booked.
Does the invite text include any medical information?
No. The draft simply offers a proposed time and a way to reply or call the clinic. It carries no clinical detail, and your front desk can edit the wording before it is sent.
