Automated Pediatrician Referral Handoffs

Every morning, WebRun opens MilkNotes, finds consults where a pediatrician referral or handoff was recommended, drafts a concise clinical handoff letter in Gmail addressed to the pediatrician, and prepares a DocuSign release-of-information request for the parent, leaving both unsent so you review and approve before any protected health information leaves your practice.

In short

How do I automatically prepare pediatrician referral handoffs?

WebRun helps you hand off pediatrician referrals cleanly. Each morning it finds consults flagged for referral in MilkNotes, drafts a concise handoff letter in Gmail, and prepares a DocuSign consent request where no release is on file, leaving both unsent so no protected health information leaves until consent is confirmed and you approve.

  • Referral letters are drafted the same morning a handoff is flagged
  • Consent is requested before any clinical detail is shared
  • No protected health information leaves your practice without your approval

Built for IBCLCs · lactation consultants · newborn feeding specialists · collaborative care practices

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.milknotes.com in a real browser with your saved login - no setup, no API keys.

  2. 1

    • Pull the relevant findings, feeding assessment, and the reason for referral from each chart

Done when Referral details and consent status are gathered for each flagged consult.

  3. 2
Gmail - draft the handoff letter
    gmail.com

    • Keep it factual and scoped to what the pediatrician needs to know
    • Save each letter as a draft in Gmail and leave it unsent until consent is confirmed and you approve

Done when A handoff letter waits in Gmail as an unsent draft for each referral.

  4. 3
DocuSign - prepare the consent request
    docusign.com
WebRun in DocuSign: prepare the consent request
WebRun opens DocuSign to prepare the consent request.
    • For any client without a signed release, prepare a DocuSign release-of-information request addressed to the parent
    • Attach your standard consent template and pre-fill the pediatrician and client details
    • Leave the DocuSign envelope in draft for you to review and send, so no request goes out unreviewed

Done when A DocuSign consent request is prepared and left in draft where a signed release is missing.

Questions, answered

Will it send clinical notes to a pediatrician without me?

No. Every handoff letter is saved as an unsent Gmail draft for your review. No protected health information is sent to a pediatrician until consent is confirmed and you approve and send the letter yourself.

How does it handle patient consent?

It checks MilkNotes for a signed release first. If none exists, it prepares a DocuSign consent request in draft for the parent, and the handoff letter stays unsent until that release is in place and you approve it.

Does it decide who needs referring?

No. It only acts on consults you have already flagged for referral in MilkNotes. WebRun assembles the paperwork; the clinical decision to refer stays entirely with you.
