Automated KakaoTalk Shared File Index

Every night, WebRun opens the KakaoTalk work chat rooms you name, reads the day's message history, finds every file, photo, and link that was shared, indexes each one in Notion with who sent it and which room it came from, and posts the day's list to Slack.

In short

How do I find files that were shared in a work chat room?

Every night, WebRun opens the KakaoTalk work chat rooms you name, reads the day's message history, and finds every file, photo, and link that was shared. It indexes each one in Notion with who sent it, which room, and when, then posts the day's list to Slack.

  • Nobody scrolls back through a chat room hunting for a file
  • Every shared item is indexed with its sender, room, and one line of context
  • Personal chat rooms are never opened, only the work rooms you name

Built for operations teams · project managers · small businesses · field teams

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens accounts.kakao.com in a real browser with your saved login - no setup, no API keys.

  2. 1
KakaoTalk - find the day's shared files
    kakao.com
WebRun in KakaoTalk: find the day's shared files
WebRun opens KakaoTalk to find the day's shared files.
    • Sign in and open only the work chat rooms on the list you gave WebRun
    • Read the message history since the last run and pick out every file, photo, and link shared
    • Record the file name or link, who sent it, which room it came from, and the timestamp
    • Add one line of context from the surrounding messages, so the index says what the file was for
    • Read only. WebRun never sends a message, never replies, and never deletes anything from a chat

Done when Every file, photo, and link shared today is captured with its sender, room, and time.

  3. 2
Notion - index them where the team looks
    notion.so
WebRun in Notion: index them where the team looks
WebRun opens Notion to index them where the team looks.
    • Open the shared file index database and add a row per item found
    • Fill in the file name or link, the sender, the chat room, the date, and the one-line context
    • Tag rows by room and by type, so photos, documents, and links can be filtered apart
    • Skip anything already indexed on a previous run, matching on sender, name, and timestamp

Done when The index holds a row for every item shared today, with no duplicates.

  4. 3
Slack - post the day's list
    slack.com
WebRun in Slack: post the day's list
WebRun opens Slack to post the day's list.
    • Post the day's list to your team channel, grouped by chat room
    • Show the sender and the one-line context beside each item so people know what to open
    • Link straight to the Notion index for the full history
    • Keep it internal. Nothing is posted back into the KakaoTalk rooms

Done when The team channel has tonight's list of shared files with a link to the full index.

Questions, answered

Will it read my personal chats?

No. WebRun opens only the work chat rooms on the list you give it. Personal rooms are never opened, and it never sends, replies to, or deletes a message in any room.

Does it copy the files themselves?

No. File uploads are blocked by policy, so WebRun builds an index instead: the file name, the sender, the room, the date, and a link back to where it was shared.

What stops the same file being indexed twice?

Each run matches new items against what is already in Notion by sender, name, and timestamp, so a file shared once appears once even if the run repeats.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
