Automated Insulation Job Margin Report

Every Monday, WebRun opens FieldGroove, reads last week's completed jobs with their quoted board-feet and material, pulls the actual material and labor cost from QuickBooks, writes the per-job variance to a Google Sheet, and posts the jobs with the biggest margin leaks to Slack.

In short

How do I compare quoted versus actual job cost automatically?

WebRun shows you which jobs are eating your margin. Every Monday it opens FieldGroove, reads last week's completed jobs with their quoted material, pulls the actual cost from QuickBooks, and writes the per-job variance to a Google Sheet. It posts the biggest overruns to Slack, so thin-margin jobs and job types are caught early.

  • Thin-margin jobs are flagged every week
  • Actual cost is tied to each quote automatically
  • Consistently over job types get called out

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.fieldgroove.com in a real browser with your saved login - no setup, no API keys.

  2. 1
FieldGroove - read quoted job material
    fieldgroove.com
WebRun in FieldGroove: read quoted job material
WebRun opens FieldGroove to read each job's quoted material.
    • Open FieldGroove and list jobs completed in the last week
    • Capture the quoted board-feet, estimated material, and quoted price for each
    • Note the crew and job type for context

Done when Every job finished last week is captured with its quoted numbers.

  3. 2
QuickBooks - pull actual job cost
    • Open QuickBooks and pull the actual material and labor cost booked to each job
    • Match each cost entry to its FieldGroove job
    • Capture the real margin once actual costs are in

Done when Each job has its actual booked material and labor cost from QuickBooks.

  4. 3
Google Sheets - compute the variance
    google.com
WebRun in Google Sheets: compute the variance
WebRun writes the quoted-versus-actual variance in Google Sheets.
    • Write one row per job with quoted material, actual cost, and the variance
    • Compute the margin and the overrun as a percentage
    • Sort so the worst margin leaks sit at the top

Done when The sheet shows quoted-versus-actual and margin for every job.

  5. 4
Slack - flag the margin leaks
    slack.com
WebRun in Slack: flag the margin leaks
WebRun posts the margin leak report to Slack.
    • Post the jobs with the biggest overruns and thinnest margins
    • Show quoted, actual, and variance for each
    • Call out any job type that is consistently over

Done when You have last week's margin leak report in Slack.

Questions, answered

Is it safe to run this unattended?

Yes. This is a read-only internal report. WebRun only reads FieldGroove and QuickBooks and writes to your own sheet and Slack. It never changes an invoice, a cost entry, or a job.

How does it match a job's actual cost to its quote?

It ties each QuickBooks material and labor entry back to its FieldGroove job, then compares the booked cost against the quoted material so you see the true variance per job.

What if some job costs are not booked yet?

It flags any job whose actual costs are still incomplete rather than reporting a false margin, so partial jobs are marked pending until QuickBooks catches up.

Put this on autopilot.
