Automated Omnicell Medication Expiry Reports

Every Monday, WebRun opens Omnicell, checks the expiry date on every cabinet item across all units, logs everything expiring within the next 60 days to a Google Sheet organized by unit, and texts the pharmacy technician responsible for each unit their pull list through Twilio.

In short

How do I catch expiring medication in Omnicell cabinets before it's wasted?

Every Monday, WebRun checks the expiry date on every item in Omnicell cabinets, logs everything expiring within 60 days to a Google Sheet organized by unit, and texts each responsible technician their own pull list through Twilio, urgent items first. That gives the team weeks of lead time to rotate or use stock before it turns into waste.

  • Technicians get weeks of lead time instead of finding expired stock during a count
  • Waste and expiry write-offs drop because stock gets rotated before it lapses
  • Each technician only hears about their own unit, not a hospital-wide list

Questions, answered

Does it remove or return the expiring stock automatically?

No. WebRun only identifies what's expiring and texts the responsible technician a pull list. Physically pulling, quarantining, or returning stock to your wholesaler is done by your team.

Why a 60 day window instead of just what's already expired?

A 60 day window gives the technician time to rotate stock or use it before it expires, instead of only learning about waste after the fact. The most urgent items, expiring within 14 days, are called out separately.

What if a unit has nothing expiring that week?

That technician simply doesn't get a text. Only units with genuinely expiring stock receive a pull list, so nobody is checking a message that says there's nothing to do.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
