Automated Family Update Digests

Every Monday, WebRun opens WellSky, reads the week's completed visit notes for each active patient, drafts a warm, plain-language family update email per patient in Gmail, and posts a Slack reminder to the clinical team to review and send the drafts before they go out.

In short

How do I automatically send weekly family updates for home health patients?

WebRun reads WellSky visit notes every Monday and drafts a plain-language family update email for each active patient. Every draft is held in Gmail for clinician review before it is sent, so families receive a warm, accurate weekly update without adding correspondence work to the clinical team's visit day.

  • Families receive a warm weekly update without the clinician writing it from scratch
  • No family email is sent without clinician review, protecting patient privacy
  • Patients with no visits that week are skipped so families never get a blank message

Questions, answered

Will it email a patient's family without a clinician reviewing the message first?

No. Every family update is saved as a Gmail draft and held until a clinician reviews and sends it. WebRun also flags any section of the draft that may contain protected health information requiring clinical judgment before it goes to a family contact.

How does it decide what to include in a family update?

It draws on completed visit notes from WellSky for the past week, including visit observations, clinician notes, and any care plan changes. Sensitive clinical details that require professional judgment are flagged for clinician review rather than included automatically.

What if a patient had no visits that week?

Patients with no completed visits in the past seven days are skipped automatically. WebRun only drafts updates for patients with actual visit activity, so families never receive a blank or placeholder email.
