In short

How do I automatically track and remind caregivers about expiring credentials?

Every Monday, WebRun scans your Google Sheets credential tracker for caregivers whose license, CPR, or TB test expires within 30 days. It drafts a renewal reminder in Gmail for each affected caregiver for HR to review, and posts a Slack summary so your agency stays compliant without manual spreadsheet checks.

  • No caregiver credential lapses because it was overlooked in a spreadsheet
  • HR sees every expiring credential on Monday before the week's visits begin
  • Renewal reminder drafts are ready to send with one click, saving hours of manual email writing

Questions, answered

Will it send reminder emails to caregivers without HR reviewing them first?

No. Every reminder email is saved as a Gmail draft and held for HR review. The Slack summary tells HR which drafts are waiting. No email reaches a caregiver until a human opens Gmail and sends it.

Which credential types does it track?

It tracks any credential with an expiry date column in your Google Sheet, including nursing license, CPR certification, TB test, HHA certification, and background check renewal. You can add or remove columns to match your agency's compliance requirements.

What if the Sheet has a credential entry with no expiry date filled in?

Rows with a blank expiry date are flagged in the Slack summary as incomplete records so HR can fill in the missing date. WebRun does not skip them silently, ensuring no caregiver has an untracked credential.
