Automated Bonsai Project Budget Alerts

Every morning, WebRun opens Bonsai, reads the time entries logged against each live project and compares them with the budget agreed, files the burn record in Google Drive, and drafts a change order email in Gmail for any project heading past its limit.

In short

How do I know when a client project is about to go over budget?

Every morning, WebRun opens Bonsai, reads the hours tracked against the agreed budget on every live project, and works out which will run over before the work is done. It files the burn record in Google Drive and drafts a change order email in Gmail for you to approve.

  • Over-budget projects surface while there is still work left to renegotiate
  • A change order draft is ready before the conversation, not after
  • A dated burn record builds itself for every project

Built for freelancers · consultants · design studios · small agencies

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.hellobonsai.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Bonsai - compare hours against budget
    hellobonsai.com
WebRun in Bonsai: compare hours against budget
WebRun opens Bonsai to compare hours against budget.
    • Open Bonsai and list every project that is still active
    • Read the budget agreed for each project and the hours or fees tracked so far
    • Work out the percentage used and the burn rate over the last two weeks
    • Project the finish position and flag anything on course to pass its budget before the work ends

Done when Every active project has a percentage used, a burn rate and a projected finish.

  3. 2
Google Drive - file the burn record
    drive.google.com
WebRun in Google Drive: file the burn record
WebRun opens Google Drive to file the burn record.
    • Save today's burn record to the project finance folder in Google Drive
    • Keep one row per project with the budget, hours tracked, percentage used and projected finish
    • Compare against yesterday's file so a sudden jump in hours is visible

Done when Today's burn record is filed with each project's movement since yesterday.

  4. 3
Gmail - draft the change order
    gmail.com
WebRun in Gmail: draft the change order
WebRun opens Gmail to draft the change order.
    • Draft a change order email to the client for any project projected to go over
    • State the hours agreed, the hours used, the work still outstanding and the extra needed
    • Leave the email unsent as a draft. WebRun never emails a client on its own

Done when A change order draft is waiting for every project heading over budget.

Questions, answered

Will it email my client without me?

No. The change order is left as an unsent Gmail draft with the numbers filled in. You read it, adjust the tone, and send it yourself, so no client hears from WebRun directly.

Will it change anything in Bonsai?

No. It reads projects, time entries and budgets only. It never edits a budget, logs time, raises an invoice, or changes a project, so your records stay exactly as your team left them.

How early does it warn me?

It projects the finish position from the last two weeks of tracked hours, so a project trending over is flagged while there is still work left to renegotiate or stop.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
