Automated Heavy Equipment Customer Onboarding

When a new customer account is created in e-Emphasys following a closed equipment sale, WebRun reads the account details, drafts a personalized welcome email in Gmail for the account manager to review, creates an onboarding checklist in a tracking sheet, and notifies the account manager in Slack.

In short

How do I automatically kick off onboarding for new heavy equipment customers?

When a new customer account is created in e-Emphasys after a closed equipment sale, WebRun reads the account details, drafts a personalized welcome email in Gmail for the account manager to review and send, and posts a Slack kickoff notification with an onboarding checklist. The customer never receives an automated email without human approval.

  • Every new customer gets a drafted welcome email and a kickoff notification within the hour of account creation
  • Account managers always know about new customers the moment they land in e-Emphasys
  • No new sale falls through the onboarding cracks over a busy week

Questions, answered

Will it send the welcome email to the customer automatically?

No. The welcome email is always saved as a Gmail draft. The account manager reviews it and decides when to send, so the customer experience stays personal and considered.

What if the customer account already exists from a previous relationship?

WebRun checks for an existing account in e-Emphasys before triggering onboarding. If the account predates this sale, it skips the welcome email and just notifies the manager.

Can it handle multiple equipment units in a single sale?

Yes. If the closed sale includes multiple units, the welcome email draft references all of them and the onboarding checklist covers each unit individually.
