In short

How do I remind HBOT patients before their dive package runs out?

Every Monday, WebRun checks Intellicure for each patient's purchased dive package against sessions completed, flags anyone with 3 or fewer sessions remaining, and drafts a friendly Gmail reminder asking whether they would like to schedule the rest or renew. Nothing sends automatically. Your front desk reviews and approves each reminder before a patient ever sees it.

  • Patients hear from your clinic before their sessions run out, not after
  • Front desk reviews a ready-to-send reminder instead of tracking balances by hand
  • Renewed packages reset the balance automatically

Questions, answered

Will patients get billed or messaged automatically when their package runs low?

No. WebRun only drafts a reminder email in Gmail. Nothing is charged and no message sends until your front desk reviews and approves it.

How many sessions remaining triggers a reminder?

3 or fewer remaining sessions triggers a draft by default, though you can change that threshold to match how far ahead your clinic likes to reach out.

What if a patient already renewed their package?

It reads the live package size and completed dive count in Intellicure each week, so a patient who already renewed shows a fresh balance and is skipped until it runs low again.
