Automated Google Chat Action Item Capture

Every evening, WebRun opens Google Chat, reads today's messages in the spaces you nominate, picks out the sentences where someone committed to do something or asked for something by a date, opens a Trello card per commitment with the owner and the quoted message, and posts a short recap to Microsoft Teams so nothing agreed in chat is lost by morning.

In short

How do I capture action items from team chat automatically?

WebRun opens Google Chat every evening, reads the day's messages in the spaces you nominate, and picks out the sentences where someone committed to do something. It opens a Trello card per commitment carrying the owner, the quote, and any due date, then posts a recap to Microsoft Teams.

  • Commitments made in chat become cards the same evening
  • Every card carries the quoted message so context is never lost
  • Blockers nobody picked up are named in the recap

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens chat.google.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Google Chat - read today's spaces for commitments
    chat.google.com
WebRun in Google Chat: read today's spaces for commitments
WebRun opens Google Chat to read today's spaces for commitments.
    • Open Google Chat and go through the spaces you nominated for capture
    • Read today's messages and pick out the ones where someone agreed to do something, asked for something by a date, or flagged a blocker
    • Capture the person, the exact quoted sentence, the space, and any date mentioned
    • Ignore chatter, reactions, and social messages
    • Never send a message or a reaction in any space. WebRun reads only

Done when Every commitment made in the nominated spaces today is captured with its owner and quote.

  3. 2
Trello - open a card per commitment
    trello.com
WebRun in Trello: open a card per commitment
WebRun opens Trello to open a card per commitment.
    • Open your team board and add a card for each new commitment in the incoming list
    • Title the card with the action, and put the quoted message, the person, and the space in the description
    • Set the due date when the chat message named one, and assign the card to the person who made the commitment
    • Check the board first so a commitment already tracked as a card is not duplicated
    • Leave existing cards alone apart from adding a comment when the same item came up again

Done when Every new commitment has a Trello card with an owner, a quote, and a due date where one was given.

  4. 3
Microsoft Teams - post the evening recap
    microsoft.com
WebRun in Microsoft Teams: post the evening recap
WebRun opens Microsoft Teams to post the evening recap.
    • Post a short recap to your team channel listing today's captured commitments
    • Group the list by owner and show the due date beside each item
    • Call out any blocker raised in chat that nobody picked up
    • Link the Trello board so anyone can correct a card that was read wrong

Done when The evening recap is posted in Teams with commitments grouped by owner.

Questions, answered

Will it reply or post in my chat spaces?

No. WebRun reads the spaces you nominate and never sends a message, a reply, or a reaction in Google Chat. The only things it writes are internal Trello cards and a recap in your own Teams channel.

Which conversations does it read?

Only the spaces you nominate. Direct messages and every space outside that list are left alone, so private conversations are never read or summarised.

What if it misreads a message as a commitment?

Each card carries the exact quoted message and a link to the board, so a wrong card takes seconds to correct or delete. WebRun never deletes or edits your chat history either way.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
