Automated Golf Club Lapsed Member Win-Back
Every Monday, WebRun opens Club Caddie, identifies members whose memberships lapsed in the past 30 to 90 days and who have not rejoined, drafts a personalized win-back email for each in Gmail, and posts the list to Slack for staff review before any email is sent.
How do I automatically reach out to lapsed golf club members to win them back?
Every Monday, WebRun opens Club Caddie, finds members who lapsed in the past 30 to 90 days and have not rejoined, and drafts a personalized win-back email in Gmail for each one. The membership team reviews every draft via a Slack alert before any message is sent.
- Lapsed members receive a personal win-back email within days of the window opening
- Staff approve every outreach email to keep messaging on-brand

Questions, answered
Will it email lapsed members without approval?
No. Every win-back email is saved as a Gmail draft. Staff review each one before sending. No lapsed member receives an email without a staff member approving it.
How does it decide which lapsed members to include?
It targets members whose membership lapsed in the past 30 to 90 days and who have not rejoined or been contacted in the current win-back cycle. You can adjust the lapse window during setup.
What if a lapsed member has already rejoined by the time a draft is reviewed?
WebRun reads live Club Caddie status each run. If a member rejoins after the draft is created, staff will see their current active status in Club Caddie and can discard the win-back draft.
