In short

How do I automatically follow up on failed golf club dues payments?

Every morning, WebRun opens Club Caddie, finds members with a dues payment that failed in the last 24 hours, and drafts a courteous recovery email in Gmail for each one. Staff review the drafts via a Slack alert and send them, ensuring no member is contacted without human approval.

  • Failed dues payments are caught and drafted for recovery the same morning
  • No member is contacted without staff approval, protecting member relationships
  • Repeat failures are flagged so managers can escalate before memberships lapse

Questions, answered

Will it charge the card or send the email automatically?

No. WebRun only creates a Gmail draft and posts a Slack alert. No payment is retried and no email is sent without a staff member reviewing and approving it first.

What if the same member has multiple failed payments?

Each failed payment generates its own draft. Repeat failures are flagged in the Slack summary so staff can prioritize follow-up or escalate to a personal call.

Can it handle members who resolve the payment before staff review the draft?

WebRun reads the live Club Caddie status each run. If a member resolves their balance before the draft is sent, staff will see the payment cleared in Club Caddie and can simply discard the draft.
