Automated FQHC Staff Credential Expiry Tracker

Every Monday, WebRun opens Azara DRVS, reads all staff credential and license records, identifies any expiring in the next 90 days, logs them to a Google Sheet sorted by urgency, and posts a renewal digest to the HR and compliance team in Slack so every license and certification is renewed before its deadline.

In short

How can an FQHC automatically track staff credential and license expiry dates?

WebRun checks all staff credential records in Azara DRVS every Monday, flags any license or certification expiring within 90 days, and logs a color-coded renewal worklist to Google Sheets. It then posts a prioritized digest to the HR and compliance Slack channel so every renewal is filed before its deadline and no lapsed credential creates a compliance gap.

  • Expiring credentials flagged 90 days early so renewals never miss a deadline
  • Color-coded urgency tiers in Google Sheets make prioritization instant
  • HR and compliance notified every Monday without manually reviewing credential files

Questions, answered

Which credentials does it track?

It reads all credential types stored in Azara DRVS including medical licenses, DEA registrations, CPR certifications, and any other required staff credentials configured in the system.

Does it notify individual staff members about their own expiring credentials?

No. The digest goes only to the HR and compliance Slack channel. Managers then decide how and when to notify individual staff members about their renewal requirements.

What happens after a credential is renewed?

Once the updated record is entered in Azara DRVS, that credential no longer appears in the following Monday's report. The tracker sheet is regenerated fresh each week from live data.

Put this on autopilot.
