Automated FQHC Prior Authorization Expiry Tracker

Every Monday, WebRun opens Azara DRVS, identifies prior authorizations expiring within the next 14 days, logs each one to a Google Sheet with patient, payer, and service details, and posts a prioritized worklist to the billing team in Slack so renewal requests are submitted before any authorization lapses.

In short

How can an FQHC track prior authorizations expiring soon and avoid claim denials?

WebRun opens Azara DRVS every Monday, finds all prior authorizations expiring within 14 days, and logs a sorted renewal worklist to Google Sheets. It then alerts the billing team in Slack with urgency flags, so renewals are submitted in time and no authorization lapses while a patient is actively receiving care.

  • Expiring authorizations flagged 14 days early so renewals never miss the deadline
  • High-priority items expiring in 7 days or fewer surfaced first in Slack
  • No manual weekly review of authorization records required

Built for FQHCs · community health centers · billing teams · revenue cycle managers

Questions, answered

Does it submit renewal requests to payers automatically?

No. It builds the worklist and alerts your billing team. Staff then submit renewal requests directly through payer portals, ensuring each submission is reviewed and correct.

How far in advance does it flag expiring authorizations?

It flags authorizations expiring within 14 days each Monday. Items expiring within 7 days are marked as high priority at the top of the Slack message.

What if an authorization was already renewed?

Staff mark renewed items as In Progress in the Google Sheet. The following Monday those rows are excluded from the Slack alert count.
