Automated Flooring Material Order Status Updates

Every morning, WebRun opens RFMS and scans all open material orders for status changes since the previous day. For each order with a new update, it drafts a clear status email to the customer and posts a Slack summary so your team can review and send the drafts before noon.

In short

How do I automatically send flooring material order status updates to customers?

WebRun opens RFMS every morning, finds any flooring material orders whose status changed since the previous run, and drafts a clear update email for each affected customer in Gmail. Your team reviews and approves the drafts in Slack before anything is sent, keeping customers informed without manual effort.

  • Every customer with an order status change gets a timely update, not silence
  • Your team reviews all drafts before a single message reaches a customer
  • No order status change slips through without a communication queued

Questions, answered

Will it email customers directly when an order status changes?

No. WebRun saves each update as a Gmail draft and posts a Slack summary for your team to review. Emails only go out after a team member approves and sends each draft.

What if an order has multiple status changes in one day?

WebRun captures the latest status for each order in the morning run. If an order moves from confirmed to shipped between runs, the draft reflects the most recent status when it is reviewed.

Does it only work with RFMS, or can it use other systems?

This template is built around RFMS at rfms.com. If your team also tracks orders in Broadlume at broadlume.com, that source can be added as a second connection in the same workflow.
