Automated Flooring Install Appointment Confirmations
Every evening, WebRun opens RFMS and finds all flooring jobs scheduled for the following day. For each one, it drafts a confirmation message to the customer with the appointment time, crew arrival window, and any prep instructions, then posts a Slack digest for your team to review and send before end of day.
How do I automatically confirm flooring installation appointments the day before?
Each evening, WebRun checks RFMS for flooring jobs scheduled the next day, drafts a personalized confirmation email for each customer with the crew arrival window and prep instructions, and posts a Slack digest for your team to review. Every customer is confirmed the night before without manual outreach.
- Every customer is contacted the evening before their installation, reducing no-shows
- Your crew leaves the shop knowing each customer is confirmed and prepared
- No confirmation message goes out without team review

Questions, answered
Will it send confirmation messages to customers automatically?
No. Every confirmation is saved as a Gmail draft and listed in Slack for your team to review. Messages only reach customers after a team member opens and sends each draft.
What if a job is rescheduled or cancelled after the drafts are created?
WebRun reads RFMS at run time each evening. If a job has been rescheduled before the run, it will not appear in that night's draft batch. Already-created drafts should be deleted manually if a job changes after the run.
Can it include specific prep instructions for different types of installations?
Yes. If prep notes are recorded in the RFMS job record, WebRun includes them in the draft. You can also set a default prep checklist that appears on every confirmation email.
