Automated Dext Quiet Client Chasing
Every Monday, WebRun opens Dext, counts the items each client submitted last week, compares that against their usual volume, opens a Trello card for every account that went quiet, and drafts a friendly nudge email in Gmail for the practice manager to review and send.
How do I spot clients who stopped sending receipts to Dext?
WebRun opens Dext every Monday, counts the items each client submitted last week, and compares that against their usual volume. It opens a Trello card for every account that went quiet and drafts a friendly nudge in Gmail for a person to send, so month end is not when you discover a client stopped submitting.
- A client who goes quiet is chased the same week
- Every nudge is judged against that client's own normal volume
- Month end arrives without a pile of missing paperwork

What does WebRun do on every run?
The exact actions WebRun takes, in order - in plain language, so you can adjust anything.
-
WebRun signs in and gets to work
Opens
app.dext.comin a real browser with your saved login - no setup, no API keys. -
1
Dext - count submissions per client
WebRun opens Dext to count submissions per client. - Open Dext and list every client account in the practice
- Count the items received into each client's costs inbox over the last seven days
- Compare that count against the same client's normal weekly volume
- Note the date each client last submitted anything so a long silence is obvious
Done when Every client has last week's item count and the date they last submitted.
-
2
Trello - card the quiet accounts
WebRun opens Trello to card the quiet accounts. - Open a card for each client whose volume dropped below their normal range
- Put last week's count, the usual count, and the last submission date on the card
- Assign the card to the account manager who owns that client
- Close cards for clients whose submissions came back this week
Done when Every quiet client has an owned card with the numbers behind it.
-
3
Gmail - draft the client nudge
WebRun opens Gmail to draft the client nudge. - Write a short, friendly nudge for each quiet client asking whether anything is holding submissions up
- Keep it in the practice's usual tone and mention the period covered
- Address it to the contact already on the client's thread
- Leave every one in Drafts. WebRun never emails a client on its own
Done when A nudge is drafted for each quiet client, waiting for a human to send.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it email clients without me?
No. Every nudge is left as a Gmail draft for the account manager to read and send. No client hears from the practice until a person has approved the wording.
How does it know a client is quiet?
It compares last week's item count against that client's own normal weekly volume, so a client who sends three receipts a week is not judged against one who sends fifty.
Does it publish or change anything in Dext?
No. This workflow only reads item counts and submission dates. It never publishes an item, edits a cost, or changes a client's settings inside Dext.
