Automated Crane Certificate Filing

When an inspection is completed in InspectAll, WebRun pulls the finished report and any load-test certificate PDF, files them into the correct customer and crane folder in Google Drive with a consistent name, and posts your plant safety channel a Slack note linking the document so it is always where safety expects it.

In short

How do I file crane inspection certificates so safety can find them?

When an inspection is completed in InspectAll, WebRun pulls the finished report and load-test certificate PDF, files them in the correct Google Drive customer folder with a consistent name, and posts your plant safety channel a Slack note linking the document. It keeps the certificate internal, so safety always finds the current record without hunting through email.

  • Every certificate is filed in the right folder the moment an inspection closes
  • Safety opens one Slack link instead of searching email
  • Consistent naming means no certificate is ever lost or duplicated

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.inspectall.com in a real browser with your saved login - no setup, no API keys.

  2. 1
InspectAll - pull the finished report
    inspectall.com
WebRun in InspectAll: pull the finished report
WebRun opens InspectAll to pull the finished inspection report and certificate.
    • Open the completed inspection in InspectAll for the crane asset
    • Pull the finished inspection report and any load-test certificate PDF
    • Read the customer, site, crane serial number, and inspection date for naming

Done when The finished report and certificate PDF for the inspection are retrieved with their identifying details.

  3. 2
Google Drive - file the certificate PDF
    drive.google.com
WebRun in Google Drive: file the certificate PDF

    • Locate or create the customer and crane folder in Google Drive
    • Save the report and certificate PDF with a consistent name: date, site, and serial number
    • Confirm the file is in the right folder and not a duplicate of an existing certificate

Done when The report and certificate are filed in the correct Drive folder with a consistent name.

  4. 3
    Slack - notify plant safety
    slack.com
WebRun in Slack: notify plant safety

    • Post an internal note to the plant safety channel with the crane, site, and inspection date
    • Link the filed Drive document so anyone can open the current certificate
    • Keep it an internal reference note for your own team, not a customer message

Done when The plant safety channel has an internal Slack note linking the filed certificate.

Questions, answered

Does it share the certificate with the customer?

No. WebRun files the document in your own Google Drive and posts an internal Slack note to your plant safety channel. Sharing a certificate outside your team stays a manual decision a person makes.

How does it name and sort the files?

It names each file consistently with the inspection date, site, and crane serial number, and saves it into that customer and crane's folder, so the current certificate is always easy to find and never buried.

Will it create duplicate certificates?

No. It checks the target folder before saving and files the report and certificate once per completed inspection, so you get a clean record rather than repeated copies of the same document.
