Automated Desk Occupancy Reports

Every Monday, WebRun opens Nexudus, reads dedicated-desk and hot-desk occupancy against total capacity, writes an occupancy report into Google Sheets showing desks taken, desks free, and occupancy rate per location, then posts your team a short Slack summary of how full the space is and where there is room to sell.

In short

How do I report desk occupancy versus capacity for a coworking space automatically?

Every Monday, WebRun opens Nexudus, reads dedicated-desk and hot-desk occupancy against capacity, and writes an occupancy report into Google Sheets showing desks taken, desks free, and occupancy rate per location. It flags sites near full and those with spare desks, then posts your team a short Slack summary of where there is room to sell.

  • Occupancy versus capacity lands every Monday without manual counting
  • Spare desks surface as sales opportunities instead of sitting empty
  • A dated trend tells you when to add capacity or a new location

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

  3. 2
Google Sheets - build the occupancy report

    • Open the occupancy sheet and add a new dated row per location
    • Calculate desks taken, desks free, and occupancy rate against capacity
    • Flag any location over a high-occupancy threshold or with desks sitting empty

Done when The sheet shows this week's desks taken, free, and occupancy rate per location.

  4. 3
Slack - post the occupancy summary
    slack.com
WebRun in Slack: post the occupancy summary

Done when The team has this week's desk occupancy summary in Slack.

Questions, answered

Does it change desks or plans in Nexudus?

No. WebRun only reads the Nexudus occupancy data. It never assigns a desk, edits a plan, or moves a member. The report and Slack summary are read-only outputs, so nothing in Nexudus changes.

How is occupancy calculated?

WebRun divides desks taken by total capacity per location, using the desk counts in Nexudus. You can set a high-occupancy threshold and it flags locations near full and those with spare desks to sell.

Can I track occupancy over time?

Yes. Every figure lands in the Google Sheet, one dated row per location each week, so you can chart occupancy trends and time decisions about adding capacity or a new location.

Put this on autopilot.
