Automated Clear Books VAT Deadline Tracking

Every Monday, WebRun opens Clear Books, works out how many days are left on the current VAT period, checks the bank reconciliation and any invoices or bills still uncategorised, records the countdown in Google Sheets, and posts the blockers to Microsoft Teams.

In short

How do I track my VAT deadline and what is still unreconciled?

Every Monday WebRun opens Clear Books, reads the current VAT period and its filing deadline, and lists what is still blocking the return: unreconciled bank lines, uncategorised invoices, and unposted bills. WebRun logs the countdown in Google Sheets and posts it to Microsoft Teams, so filing is never a last day scramble.

  • Weeks of warning before the VAT deadline instead of days
  • The exact blocking invoices and bank lines are named every Monday
  • A dated tracker sheet shows whether the backlog is actually shrinking

Built for UK small business owners · bookkeepers · finance managers · accountants

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens clearbooks.co.uk in a real browser with your saved login - no setup, no API keys.

  2. 1
Clear Books - read the VAT period and blockers
    clearbooks.co.uk
WebRun in Clear Books: read the VAT period and blockers
WebRun opens Clear Books to read the VAT period and blockers.
    • Open Clear Books and read the current VAT period, its end date, and the submission deadline
    • Check the bank reconciliation and count any transactions still unreconciled in the period
    • List sales invoices and purchase bills that are unposted, uncategorised, or missing a VAT treatment
    • Prepare nothing for submission. WebRun reads the books and reports, it never files a VAT return

Done when Days to deadline and every open blocker are captured for the current VAT period.

  3. 2
Google Sheets - log the weekly countdown
    google.com
WebRun in Google Sheets: log the weekly countdown
WebRun opens Google Sheets to log the weekly countdown.
    • Open the VAT tracker sheet and append this week's row
    • Record days to deadline, unreconciled count, uncategorised invoices, and uncategorised bills
    • Keep the earlier weeks in place so the trend shows whether the backlog is shrinking

Done when This week's countdown and blocker counts are appended to the tracker sheet.

  4. 3
Microsoft Teams - post what is blocking filing
    microsoft.com
WebRun in Microsoft Teams: post what is blocking filing
WebRun opens Microsoft Teams to post what is blocking filing.
    • Post the countdown to the finance channel, leading with days left before the deadline
    • List the exact blockers underneath: how many bank lines, which invoices, which bills
    • Flag it clearly when the backlog has not moved since last week

Done when The finance channel has this week's VAT countdown and blocker list.

Good to know

Questions, answered

Will it submit the VAT return for me?

No. WebRun reads the period, the deadline, and the blockers and reports them. Submitting a VAT return is a filing you make yourself, and WebRun never touches that button.

Does it change anything in my books?

No. It reads the reconciliation status and the invoice and bill records without editing, categorising, or posting anything, so your accountant's numbers stay exactly as they were.

What if I file quarterly rather than monthly?

It follows whatever period Clear Books shows, so a quarterly filer gets a countdown that resets each quarter and a weekly nudge through the whole period.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
