Automated Chatwork New Member Onboarding

When a new contact is added in Chatwork, WebRun reads their role, adds them to the group chats your role map calls for, creates their starter task list, points them at the handbook files, posts a joiner note to Microsoft Teams, and drafts the welcome email in Gmail.

In short

How do I set up a new teammate in Chatwork on their first day?

When a new contact is added in Chatwork, WebRun adds them to the group chats their role calls for, creates their starter task list, and links the handbook files they need. It posts the joiner note to Microsoft Teams and drafts the welcome email in Gmail for a human to send.

  • New joiners land in the right rooms before their first message
  • Starter tasks and handbook links are ready on day one
  • Nobody spends week one asking to be added to a chat

Built for office managers · operations teams · HR coordinators · growing companies

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.chatwork.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Chatwork - add to rooms and set starter tasks
    chatwork.com
WebRun in Chatwork: add to rooms and set starter tasks
WebRun opens Chatwork to add to rooms and set starter tasks.
    • Open Chatwork and read the new contact's name, role, and team
    • Add them as a member to each group chat your role map lists for that role, and to nothing outside it
    • Create their starter tasks with due dates and link the handbook files they need in week one

Done when The new contact is a member of every room their role map lists, with starter tasks assigned.

  3. 2
Microsoft Teams - tell the team who joined
    microsoft.com
WebRun in Microsoft Teams: tell the team who joined
WebRun opens Microsoft Teams to tell the team who joined.
    • Post a short joiner note to your operations channel
    • List the rooms they were added to and the starter tasks created
    • Flag anything the role map did not cover so a human decides on it

Done when The team knows who joined and what was set up.

  4. 3
Gmail - draft the welcome email
    gmail.com
WebRun in Gmail: draft the welcome email
WebRun opens Gmail to draft the welcome email.
    • Draft a welcome email to the new teammate with their rooms, tasks, and first-week links
    • Copy their manager and the office manager on the draft
    • Leave it unsent. WebRun never emails a new joiner on its own

Done when A personalised welcome email is in drafts, ready for a human to send.

Questions, answered

Will it email the new joiner without me?

No. The welcome email is left as an unsent Gmail draft with their manager copied in, so a person reads it and sends it. Nothing reaches the new teammate automatically.

Which rooms does it add people to?

Only the rooms in the role map you set up in advance. Anything a role map does not cover is flagged in Microsoft Teams for a human to decide, never guessed at.

Does it remove anyone or delete rooms?

No. WebRun only adds a member and creates tasks. It never removes a member, deletes a room, deletes a task, or changes anyone else's access.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
