In short

How do I automatically track and reorder camp program supplies?

WebRun opens your camp supply inventory Google Sheet every Monday, finds items that have fallen below their reorder threshold, and drafts a grouped purchase order email for each supplier in Gmail. It then posts a reorder summary to your operations Slack channel so your manager can review the PO drafts and send them before any supply runs out mid-session.

  • Low-stock supplies are flagged every Monday before they run out mid-session
  • PO drafts are grouped by supplier so one email covers all that supplier's items
  • Operations manager reviews ready-to-send drafts rather than writing POs from scratch

Questions, answered

Will it send purchase orders to suppliers without someone approving them?

No. Every PO is saved as a Gmail draft and listed in the Slack summary. Your operations manager reviews each draft and sends only the ones they approve. No order goes to a supplier automatically.

How does it know which supplier to contact for each item?

It reads a preferred supplier column in your inventory Google Sheet. You set the supplier name and email address there once, and WebRun groups items by supplier when drafting the PO emails.

What if an item was restocked since the last inventory update?

WebRun reads the current quantity from the Google Sheet each Monday. If the sheet has been updated with new stock, the item will show above threshold and will not appear in that week's reorder list.

Put this on autopilot.
