Automated Beekeeper Open Shift Cover
Every morning, WebRun opens Beekeeper, collects the open shifts and shift swap requests that still have no taker, drafts a targeted ask for the right location stream, logs each uncovered shift as a Trello card, and posts the coverage gap list to Microsoft Teams.
How do I find out which shifts are still uncovered today?
Every morning WebRun opens Beekeeper, reads the open shifts and swap requests still without a taker, drafts a targeted ask for the right location stream, then logs each uncovered shift as a Trello card and posts the gap list to Microsoft Teams, so managers fill the floor before it opens.
- Uncovered shifts surface hours before they start, not after
- Every open swap request has a named owner in Trello
- Managers send one targeted ask instead of blanket posts
Built for retail managers · hospitality operators · manufacturing supervisors · frontline workforce teams
What does WebRun do on every run?
The exact actions WebRun takes, in order - in plain language, so you can adjust anything.
-
WebRun signs in and gets to work
Opens
www.beekeeper.ioin a real browser with your saved login - no setup, no API keys. -
1
Beekeeper - find shifts with no taker
WebRun opens Beekeeper to find shifts with no taker. - Open Beekeeper and review the open shifts posted for today and tomorrow
- Collect the shift swap requests that nobody has picked up yet
- Note the location, the role, the start time, and who is affected for each one
- Draft a short ask for the matching location stream or chat, and leave it unsent for the manager to send
Done when Every unclaimed shift and open swap request is listed with its location and start time.
-
2
Trello - log each uncovered shift
WebRun opens Trello to log each uncovered shift. - Create a Trello card for each shift still without a taker
- Put the location, role, and start time in the card title so the list scans at a glance
- Set the due date to the shift start and move anything starting today to the top list
- Close out cards for shifts that were filled since the last run
Done when Every uncovered shift has an open Trello card with its start time as the due date.
-
3
Microsoft Teams - post today's coverage gaps
WebRun opens Microsoft Teams to post today's coverage gaps. - Post the coverage gap list to your operations channel in Microsoft Teams
- Lead with the shifts starting soonest and the locations short the most people
- Include the count of open swap requests still waiting on a taker
- Link the Beekeeper draft so the manager can send the ask in one click
Done when The operations channel has today's coverage gaps with the earliest shifts first.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it message staff in Beekeeper without me?
No. WebRun writes the ask for the location stream and leaves it unsent. A manager reads it and sends it, so nobody gets pinged on WebRun's own judgement.
How does it know a shift is still open?
It reads the live shift list in Beekeeper on every run, so anything claimed or swapped since yesterday is dropped and its Trello card is closed out.
Can it cover more than one location?
Yes. WebRun walks every location you give it access to and groups the gap list by site, so a multi-site manager sees all of them in one Teams post.
Put this on autopilot.
Turn it on in minutes - or have our team set it up for you.
