Automated AutoEntry Credit Balance Alerts

Every morning, WebRun signs in to AutoEntry, reads your remaining credit balance and how many documents were processed in the last week, works out how many days of credit are left at that pace, posts the figures to Slack, and texts the practice owner through Twilio when the runway drops below your threshold.

In short

How do I avoid running out of AutoEntry credits?

WebRun signs in to AutoEntry every morning, reads your remaining credit balance and the documents processed in the last seven days, and calculates the days of runway left. It posts the figures to Slack and texts the practice owner through Twilio once the runway falls below your threshold.

  • Credits are topped up before a capture batch stalls
  • The team sees the days of runway every morning, not a raw balance
  • The heaviest client companies are visible so pricing can be reviewed

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens autoentry.com in a real browser with your saved login - no setup, no API keys.

  2. 1
AutoEntry - read credits and usage pace
    autoentry.com
WebRun in AutoEntry: read credits and usage pace
WebRun opens AutoEntry to read credits and usage pace.
    • Sign in to AutoEntry and open your account or billing view
    • Read the current credit balance
    • Count the documents processed over the last seven days across all companies
    • Divide the balance by the daily average to get the days of runway remaining
    • Note which client companies are consuming the most credits this month

Done when The credit balance, the weekly usage and the days of runway are all calculated.

  3. 2
Slack - post the daily numbers
    slack.com
WebRun in Slack: post the daily numbers
WebRun opens Slack to post the daily numbers.
    • Post the credit balance, the weekly document count and the days of runway to your bookkeeping channel in Slack
    • List the three heaviest client companies this month with their share of usage
    • Show yesterday's runway figure beside today's so the trend is obvious
    • Keep the post to a few lines so it is read every morning

Done when The bookkeeping team can see today's credit position in Slack.

  4. 3
Twilio - text before credits run out
    twilio.com
WebRun in Twilio: text before credits run out
WebRun opens Twilio to text before credits run out.
    • Compare the days of runway with the threshold you set, for example ten days
    • Send an SMS through Twilio to the practice owner's own number when the runway falls below it
    • State the balance, the burn rate and the date the credits are projected to run out
    • Never buy credits, change a plan or enter payment details. Topping up stays a human action

Done when The practice owner has been texted if the runway is short, or nothing was sent.

Questions, answered

Will it buy more credits automatically?

No. WebRun never purchases credits, changes a plan or touches payment details. It tells the practice owner the runway is short and the top-up stays a deliberate human action.

Who gets the text message?

Only the number you configure, normally the practice owner or office manager. Clients are never texted, and the message contains a balance and a date, not any client document data.

Does it work across several client companies?

Yes. The document count covers every company in the account, and the Slack post names the three heaviest consumers this month so you can see which client is driving the burn.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
